Set Up Attendance Tracking

Attendance tracking involves the set up of an Attendance Mode and Attendance Categories (Unexcused Tracking and Illness Tracking). Attendance tracking and notification must be set up at the district before it can be defined for schools.

Once an attendance tracking mode is defined, you may define as many attendance tracking categories as needed. The following unexcused tracking categories can be set up for each school:

  • Unexcused absence tracking category
  • Unexcused tardy tracking category

Attendance tracking values are used by the Attendance Tracking and Notification reports available on the Systems tab of the Run Reports page as well as the truancy notification letters available in ReportWorks. 

Note: Do not change Attendance Tracking and Notification values during the school year. It is recommended that you wait until the end of the school year to make any necessary changes.

Attendance Mode Setup

Navigation:

School Setup > Attendance: Attendance Tracking and Notification > Attendance Mode > Tracking Mode > New

One attendance tracking mode is required per school; only one mode can be defined. The same attendance tracking mode is used by both unexcused and illness attendance tracking categories.

Attendance Mode Value

Choose the attendance mode used as the default for your school:

  • (MPTD) Meeting Period to Day
  • (MTTD) Meeting Time to Day
  • (DCTD) Daily Code to Day
  • (DTTD) Daily Time to Day
  • (ITVL) Interval

Unexcused Tracking Setup

Navigation:

School Setup > Attendance: Attendance Tracking and Notification > Unexcused Tracking Categories > New

Set up Unexcused tardies in their own category to differentiate between excused tardies and unexcused tardies that meet the truancy requirements.

The page displays Unexcused to indicate that the attendance code category selected will be used to track unexcused absences or tardies.

Choose the attendance code category dedicated to track unexcused absences or tardies

Because attendance code categories can only be used once, the pop-up menu displays all attendance code categories set up for your school, except those already associated with an unexcused reporting category.

Illness Tracking Setup

Navigation:

School Setup > Attendance: Attendance Tracking and Notification > Illness Tracking Categories > New

Multiple illness tracking categories can be set up for each school to track illness absences. Each illness tracking category must be associated with the appropriate attendance code category. The status for all illness tracking categories is Absent.
