CA Weekly Attendance Summary (Meeting)

Introduction

The Weekly Attendance Summary (Meeting) report is a weekly attendance summary by section.

Use the Weekly Attendance Summary Meeting (M) report to display attendance codes by section. Select a combination of teachers with day/period. Present codes are not displayed. The teacher must have a Staff Status equal to Teacher and a Status equal to Current to display in the list on the run page. Only the attendance codes entered are displayed.

For Meeting Attendance Mode, sections must be marked as Meeting to display in the report. For Interval Attendance Mode, sections must be marked as Interval to display in the report. In both modes, only the first period is considered. In Interval Attendance Mode, only the first interval is considered.

If the student is not enrolled on the attendance day and Ever Enrolled is selected, the report will export N/E for the student's attendance for that day.

Students who are not enrolled in the section during the date range selected will not show up on the report. Sections having no section enrollments will not show up on the report. The report will return an error page if the search criteria is invalid.

Note: This report includes weekends and out of session days so that unexpected closures can be audited.

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The report selects student records based on the following criteria:

  • The student must be enrolled in the school included in the report during the report date range.

  • The student's school enrollment must not be excluded from state reporting.

  • Students Ever Enrolled in Section: The student must have been enrolled in the section at some point during the term dates associated with the section, but may no longer be enrolled in the section.

  • Students Current Enrolled in Section:

    • The student's entry date in the section must occur on or before the report end date.

    • The student's exit date from the section must occur after the report start date.

Teacher Selection

The report selects staff member records based on the following criteria:

  • The staff member must have a Staff Status equal to Teacher on the Edit Information staff page.

  • The staff member must have a Status equal to Current on the Edit Information staff page.

  • The staff member must be assigned to the section during the week chosen in the report parameters.

  • The staff member must be a Lead Teacher during the reporting date range. 

Section Selection

The report selects sections based on the following criteria:

  • The section must be associated with the appropriate school and teacher.

  • The section must have at least one student enrolled.

  • The section must be associated with attendance mode Interval or Meeting.

Report Input

This report is run at the School level only.

Field

Description

Teachers

Select one or more teachers from the list.

If a teacher is missing from the list, verify that he or she has Teacher chosen for Staff Status and Current chosen for Status on the Edit Information staff page.

Period (s) (leave blank for all)

Select one or more periods.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.

  • ASAP – Execute the report in the order it is received in the Report Queue.

  • At Night – Execute the report during the next evening.

  • On Weekend – Execute the report during the next weekend.

  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Weeks

Choose the date range for the report from the pop-up menu.

Attendance Mode

Choose Meeting or Interval from the pop-up menu.

Implement the "Exclude from ADA" flag to exclude such enrollment records from this report

Choose Yes or No from the pop-up menu. Choosing Yes excludes the student from the report if the student has a school enrollment marked to be excluded from ADA during the report date range.

Attendance Codes – Absent

List Absent attendance codes to include in the report. Separate multiple codes with a comma and no space, such as: A,S,I.

Note: Attendance codes are considered absent if listed; the report ignores Presence Status.

Attendance Codes – Unexcused

List Unexcused attendance codes to include in the report. Separate multiple codes with a comma and no space, such as: P,E,T.

Note: Attendance codes are considered absent if listed; the report ignores Presence Status.

Attendance Codes – Tardy

List Tardy attendance codes to include in the report. Separate multiple codes with a comma and no space, such as: T,L.

Note: Attendance codes are considered present if listed; the report ignores Presence Status.

Show Sections

Choose the appropriate option from the pop-up menu:

  • All Sections (including perfect attendance) – The report extracts all sections associated with the teacher, weeks, and periods selected above.

  • Sections having some of the above attendance codes only – The report only extracts sections that are associated with attendance records assigned one of the attendance codes listed above.

Audit Students

Choose the appropriate option from the pop-up menu:

  • Currently Enrolled in Class – Students currently enrolled in the section.

  • Ever in Class – All students who were enrolled in the section at some point during the term dates associated with the section.

Report Student Name as

Choose the appropriate option from the pop-up menu:

  • Preferred Name – The report will pull the student's preferred name.

  • Legal Name – The report will pull the student's legal name.

Note: This field is set up based on security preferences and may not be visible. For more information, see Entering Security Information.

Include Student Number

Check the box to include the locally assigned student identification number for each student.

Include Verification Line

Select one of the following options:

  • None - Exclude verification message.

  • Standard - Use the standard verification message. 

  • Custom - Enter a custom verification message.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Tables for a definition of each column in the table.

Note: The report results are sorted by teacher name, section expression, and student name.
