CA Class Size Reduction – PDF/Excel

Introduction

The Class Size Reduction report returns daily enrollment numbers by section. There are two versions of the report available, pdf and excel.

The report displays the number of students enrolled in a section for each day in a specified date range. The report also includes section enrollment totals and averages.

Selection Criteria

Selection criteria determine which database records are used in the report.

Section Enrollment Selection

The report selects records from the [CC] table based on the following criteria:

  • The section enrollment must be associated with a school included in the report.

Note: The school must not be excluded from state reporting.

  • The section enrollment must be associated with a course listed at report runtime.

  • The section enrollment must be associated with a section listed at report runtime, or not associated with a section number if listed as excluded.

  • The section enrollment must begin on or before the report end date.

  • The section enrollment must end after the report start date.

  • The section enrollment must be associated with a student who is not enrolled in a special program selected at report runtime.

Report Input

This report is run at the District and School level only.

Field

Description

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.

  • Current School Only – Includes all records associated with the current school that meet the selection criteria.

  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

  • Sub District – Includes the list of pre-defined subdistricts. When you generate the report, it will reflect the district level values as recorded for the selected subdistrict.

    The Sub-district option should be enabled on the server. Make sure that you have added Sub-districts as needed for your reporting needs.

    If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Reporting Segment or Begin Date and Ending Date

Choose a reporting segment from the pop-up menu, or enter a beginning and ending date for the report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.

  • ASAP – Execute the report in the order it is received in the Report Queue.

  • At Night – Execute the report during the next evening.

  • On Weekend – Execute the report during the next weekend.

  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyyor mm-dd-yyyyto run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Exclude counts for students enrolled in this Special Program

Choose a special program from the pop-up menu. Students enrolled in the special program during the report date range are excluded from the report.

Sort by*

Choose one of the following:

  • Course Number – Sort results by course number.

  • Teacher Name – Sort results by teacher last name.

  • Grade Level – Sort results by student grade level.

Include only these Course Numbers*

Enter a list of course numbers to indicate which courses to include in the report. Separate course numbers with a comma and no space: MUS100,ART200,LANG300,etc.

Include/Exclude Section Numbers*

Choose one of the following options to apply to the list of section numbers:

  • Include – Indicates that the report should include the sections listed in the proceeding text box.

  • Exclude – Indicates that the report should exclude the sections listed in the proceeding text box.

Section Numbers

Do one of the following:

  • Enter a list of sections to either include or exclude from the report, based on the previous setting. Separate section numbers with a comma and no space: 3,6,11, etc.

  • Leave the text box blank to include all section numbers.

Projected Average End Date

Enter a date by which to calculate the average class size.

Limit Level

(ex. 20.2)

Enter the target class size.

Limit Level Grades (ex. 0,1,2,3)

The grade levels for which the class size target is applied.

The report will break to a new page for each:

Choose how to separate the report results into separate pages from the pop-up menu:

  • Month

  • Reporting Segment

Note: This runtime option is only available on the pdf version of the Class Size Reduction report.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Tables for a definition of each column in the table.

The grade level is reported as mapped in all CA-specific reports once you meet the following criteria:

  • You are on PS Version 23.1 or higher

  • LTK Pref is enabled

  • While running the report, the selected school year is 23-24 or higher.

Gross Total

The sum of the number of students enrolled in the section each day during the report date range.

The number of in-session days with enrolled students for the section, broken down by grade level.

Section Avg by Grade

The average number of students in the specified grade level enrolled in the section during the report date range.

This value is calculated by dividing the gross total of students in the particular grade level who were enrolled in the section during the report date range by the number of in-session days with enrolled students for the section.

The average number of students enrolled in the section during the report date range.

This value is calculated by dividing the gross total for the grades enrolled by the number of in-session days with enrolled students for the section.

The double asterisk ** indicates enrollment in the section exceeds the Limit Level.

Projected Section Avg

The report uses following method to calculate the projected section average:

  1. Multiply the number of students enrolled in the section on the last day of the report by the number of days left after the projected average end date. Example: 20 x 5 = 100.

  2. Add the value from step 1 to the number of days in the report date range. Example: 100 + 15 = 115.

  3. Add the days in the report date range to the number of days left after the projected average end date. Example: 15 + 5 = 20.

  4. Divide the value from step 2 by the value from step 3. Example: 115/20= 5.75.

Total Days + (Number of Students on Last Day x Potential Days Remaining)

Note: The double asterisk ** indicates enrollment in the section exceeds the Limit Level.
