CBEDS-ORA File B - CDIF Sections B, C and SIF Sections B, C, D, E, F, G

Introduction

The CBEDS-ORA File B extract generates a file to upload to the CBEDS-ORA Data portal. This extract is used to generate the Type B record of the CBEDS electronic data file. The Type B Record includes Section B and C counts from the County/District Information Form (CDIF) and Section B, C, D, E, F and G counts from the School Information Form (SIF).

Each section of the Type B record of the CBEDS electronic data file contains the following information:

  • CDIF Section B - The estimated number of teacher new hires by subject area for the upcoming school year. When entering data, include teachers and specialized positions. Do not include administrative, guidance, media, library, health services or non-certified positions. To enter estimated new teacher hire data, navigate to District Setup > District Info > District New Hire Forecast.

  • CDIF Section C - The number of requested and granted H1-B work visa applications. 

  • SIF Section B - The kindergarten program(s) offered at the school.

  • SIF Section C - The number of requested and granted H1-B work visa applications. 

  • SIF Section D - The school's Calendar Type.

  • SIF Section E - The Estimated Number of Teacher Hires

  • SIF Section F - Multilingual Instructional Programs

  • SIF Section G - Language(s) of Instruction 

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The report selects which student records from the [Students], [S_CA_STU_ELA_C], or [ReEnrollments] tables based on the following criteria:

  • The student must not be excluded from state reporting.

  • The student must be enrolled in grade level K (0) through 12.

  • The student must be enrolled in a school included in the report. The school must not be excluded from state reporting. The school must have a valid 7-digit CALPADS school number.

  • The student's school enrollment Exit Date must occur after the CBEDS Count Date entered when running the report.

  • The student's school enrollment Entry Date must occur on or before the CBEDS Count Date when running the report.

  • The student's school enrollment Exit Date must occur after the Entry Date.

Staff Selection

The report selects staff records from the [Teachers] table based on the following criteria:

  • The staff member's Staff Providing Instructional Services to English Learners must be set to (3) Bilingual Paraprofessional Providing Primary Language Support to ELs.

  • The staff member's Language of Instruction must be a valid foreign language (not English or American Sign Language). If instruction is provided in more than one language, choose the language taught most frequently. If there is a tie, choose the language with the lowest numeric code value.

Note: If a bilingual paraprofessional works at more than one school, flag the person at the school in which he or she spends the majority of time providing EL instructional services.

Report Input

This report is run at the School(s) and District level.

Field

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.

  • Current School Only – Includes all records associated with the current school that meet the selection criteria.

  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.

  • ASAP – Execute the report in the order it is received in the Report Queue.

  • At Night – Execute the report during the next evening.

  • On Weekend – Execute the report during the next weekend.

  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

CBEDS Count Date

Enter the CBEDS count date.

Last Year’s CBEDS Count Date

Enter the CBEDS count date from the previous year.

Select Sub-District

If you are at the School Level, you can select only the Current School.

If you are at the district level, you can choose the sub-district and select the list of schools in the sub-district. You need to set up sub-district to view the schools in the subdistrict. 

  • Select All Schools or Multiple Schools in the Sub-District.

If only [District and All Schools] is selected or if this field is left blank, then the district CDIF data and SIF data for all schools will be generated.

Only schools with a 7-digit CALPADS school number will be displayed in this list and processed.

Choose one or more schools to include in the report. Select multiple schools by pressing the shift, command or control keys while clicking in the list.

Note: Schools with identical CSIS School Numbers are aggregated.

Graduation Set (Choose one per district)

Choose a Graduation Set from the pop-up menu. The Graduation Set determines which course enrollments are used to calculate whether the student has the required number of units to earn a graduation diploma for this school year.

Number of Units Credited for a One-year Course

Enter the number of units that are awarded when a student completes a one-year course.

Include Column Headings

Choose No Delimiters (can be uploaded) or Include Delimiters (cannot be uploaded) from the pop-up menu. Including delimiters in the file makes each field easier to view.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Note: Each row is only output if the value is non-zero.

Report Output Format: The report output format for CBEDS-ORA File B is tab delimited. For SIF and CDIF, the report output is html.

SIF Form Section B - Kindergarten Program Type

Report the type of kindergarten and transitional kindergarten program offered by the school by selecting the appropriate program type below.

Note: Transitional kindergarten programs must be of equal length as kindergarten programs except in the case of an approved State Board of Education waiver on file.

SIF Form Section D - Educational Calendar

The value 'True' is reported for the educational calendar assigned to the school. Single-track and multitrack should not be reported for a single school. If any part of the school calendar is traditional and year-round, select more than one type of calendar: traditional and single-track or traditional and multitrack. When selecting multitrack or single track, an additional record must be submitted which contains the year round calendar type.
