CBEDS School Information Form

Introduction

The CBEDS School Information (SIF) report collects information on staff and enrollment data specific to schools. Populate the CBEDS count date with the current year information day (the first Wednesday in October). Populate last year's CBEDS count date with the information day from the previous year.

  • Section A - Classified Staff - The number of classified staff members by type, gender and race/ethnicity.

  • Section B - Kindergarten Program Types - Kindergarten and Transitional Kindergarten Program Types entered on the Edit School page at the District level.

  • Section C - Parental Exception Waiver from EL Classrooms - Student Authorizations entered on the Authorizations & Prohibitions student page.

  • Section D - Educational Calendar - Calendar Types entered on the Edit School page at the District level. - Year round schedule types eliminated (rows 4-9). Calendar start and end dates = rows 4 + 5 (was 10 + 11)

  • Section E - Estimated Teacher Hires

  • Section F - Multilingual Instructional Programs - new value added for 19-20

  • Section G - Language(s) of Instruction

Selection Criteria

Selection criteria determine which database records are used in the report.

School Selection

  • School must be assigned a 7-digit CALPADS School Number

  • School must not be excluded from state reporting to be included in the extract.

Staff Selection

The report selects staff records from the [Users] table based on the following criteria:

  • The staff member's Staff Providing Instructional Services to English Learners must be set to (3) Bilingual Paraprofessional Providing Primary Language Support to ELs.

  • The staff member's Language of Instruction must be a valid foreign language (not English or American Sign Language). If instruction is provided in more than one language, choose the language taught most frequently. If there is a tie, choose the language with the lowest numeric code value.

Student Selection

The report selects which student records from the [Students], [S_CA_STU_ELA_C], or [ReEnrollments] tables based on the following criteria:

  • The student must not be excluded from state reporting.

  • The student must be enrolled in grade level K (0) through 12.

  • The student must be enrolled in a school included in the report. The school must not be excluded from state reporting. The school must have a valid 7-digit CALPADS school number.

  • The student's school enrollment Exit Date must occur after the CBEDS Count Date entered when running the report.

  • The student's school enrollment Entry Date must occur on or before the CBEDS Count Date when running the report.

  • The student's school enrollment Exit Date must occur after the Entry Date.

Note: Schools with identical CDS numbers will be aggregated.

Destination

Choose the destination for the report results from the pop-up menu.

Processing Options

Choose a time to run the report:

  • In Background Now (Recommended) – Execute the report immediately in the background.

  • ASAP – Execute the report in the order it is received in the Report Queue.

  • At Night – Execute the report during the next evening.

  • On Weekend – Execute the report during the next weekend.

  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

To run the report on a specific day, enter a date using the format mm/dd/yyyy or mm-dd-yyyy An incorrect format displays an alert and the date field is submitted as a blank entry.

CBEDS Count Date

Enter the CBEDS count date.

Note: This date is automatically set to the first Wednesday of October of the currently selected year.

Last Year's CBEDS Count Date

Enter the CBEDS count date from the previous year.

Note: This date is automatically set to the first Wednesday of October of the previous year.

Select Sub-District

If you are at the School Level, you can select only the Current School.

If you are at the district level, you can choose the sub-district and select the list of schools in the sub-district. You need to set up sub-district to view the schools in the subdistrict. 

  • Select All Schools or Multiple Schools in the Sub-District.

Select School(s)

Select school(s) to include in the report.

Notes:

  • Multiple schools should only be selected when the CDS Number is the same. The CDS School Number can be entered in the CALPADS 7-digit School Number (formerly CSIS School Number).

  • Only schools with a 7-digit CALPADS school number will be displayed and processed.

A. Full Time Equivalent of Classified Staff

Reports to two decimal places the full-time equivalents (FTEs) of classified staff assigned to this school. For example, report full-time as 1.00 FTE, half-time as .50 FTE, and quarter-time as .25 FTE. Single-school districts should report classified staff on this form only and not on the County/District Information Form (CDIF).

B. Kindergarten Program Type

Report the type of kindergarten and transitional kindergarten program offered by the school by selecting the appropriate program type below.

Note: Transitional kindergarten programs must be of equal length as kindergarten programs except in the case of an approved State Board of Education waiver on file.

The estimated number of teacher new hires by subject area for the upcoming school year. When entering data, include teachers and specialized positions. Do not include administrative, guidance, media, library, health services, or non-certified positions. To enter estimated new teacher hire data, navigate to District Setup > District Info > District New Hire Forecast. The report extracts the value entered on the District New Hire Forecast page.
