CA Enrollment by Section


Introduction

The Enrollment by Section report returns a membership summary by section.

The report displays attendance and enrollment data by section. The report does not list data for individual students.

There must be a Course Number entered to run this report. You may enter Sections to include or exclude from the report. Leaving the Sections Text Area blank will return all sections.

Note: The report calculates attendance using meeting mode. If the section meets for more than one period and attendance is recorded for each period/meeting separately, the report uses the attendance code associated with the first period/meeting.

Selection Criteria

Selection criteria determine which database records are used in the report.

Section Enrollment Selection

The report selects records from the [CC] table based on the following criteria:

  • The section enrollment must be associated with a school included in the report.

Note: The school must not be excluded from state reporting.

  • The section enrollment must be associated with a course listed at report runtime.

  • The section enrollment must be associated with a section listed at report runtime, or not associated with a section number if listed as excluded.

  • The section enrollment must begin on or before the report end date.

  • The section enrollment must end after the report start date.

This report is run at the School level only.

Field

Description

Reporting Segment or Begin Date and Ending Date

Choose a reporting segment from the pop-up menu, or enter a beginning and ending date for the report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.

  • ASAP – Execute the report in the order it is received in the Report Queue.

  • At Night – Execute the report during the next evening.

  • On Weekend – Execute the report during the next weekend.

  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Sort By

Choose one of the following:

  • Course Number – Sort results by course number.

  • Teacher Name – Sort results by teacher last name.

  • Grade Level – Sort results by student grade level.

Course Numbers (comma-separated)

Enter a list of course numbers to indicate which courses to include in the report. Separate course numbers with a comma and no space: MUS100,ART200,LANG300,etc.

Note: You must enter at least one course number.

Include/Exclude Section Numbers

Choose one of the following options to apply to the list of section numbers:

  • Include – Indicates that the report should include the sections listed in the proceeding text box.

  • Exclude – Indicates that the report should exclude the sections listed in the proceeding text box.

Section Numbers (comma-separated)

Do one of the following:

  • Enter a list of sections to either include or exclude from the report, based on the previous setting. Separate section numbers with a comma and no space: 3,6,11, etc.

  • Leave the text box blank to include all section numbers.

Check for possible conflicts

Click the link to automatically check for potential school enrollment date conflicts.

Report Output

Each of the fields displayed in the output of the report are described below. See  Understanding the Report Output Tables  for a definition of each column in the table.

Note: The classes in the report output are ordered first by teacher name and second by expression.

Report Output Format: The report output format for this report is html.

If you are on PS version 23.1 or higher and LTK Pref is enabled, when you run the reports with the selected school year 23-24 or higher, the mapped LTK grade values will be displayed.

The number of present attendance days for all students in the section during the report date range.

Average Days Attended

The average of the number of present attendance days for all the students.

The total number of absent attendance days for all students in the section during the report date range.

The percentage of students present at the school.

The report uses the following formula to calculate average days attended:

(Aggregate Days Attended / Aggregate Days Membership) x 100

The total for each column.

ReportWorks

Use ReportWorks to access an attendance letter template specific to California.

  1. Click ReportWorks. The Reports page loads with templates listed on the ReportWorks tab.

  2. Click on the name of a template used to print attendance letters.

  3. Choose the radio button for the current selection of students.

  4. Click Submit. The Report Queue (ReportWorks) – My Jobs page appears.

  5. Click Refresh until the Status is Completed.

  6. Click Completed.

  7. Open the result file using a PDF viewer, such as Adobe Reader or Preview. The attendance letter template appears with data specific to each student in the selection.
