CDS Referral Method

Introduction

The Community Day School (CDS) Referral Method Report provides a district-level count of students enrolled in Community Day Schools broken down by method/reason for referral.

This report must be submitted three times per year: First Period (July 1 through December 31), Second Period (July 1 through April 15), and Annual (July 1 through June 30).

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The report selects student records based on the following criteria:

  • The student's school enrollment grade level must be 0 through 12.

  • The student must be enrolled in a CDS special program.

  • The student's CDS special program enrollment entry date must occur on or before the report end date.

  • The student's CDS special program enrollment exit date must occur after the report start date.

This report will include TK/AD grade-related records if configured from 2023-2024 onwards.

Students in the TK grade level will be included in any report that includes grade level 0.

Students in the TK grade level will be excluded from any report that is only for grades <0.

Students in the AD grade level will be included in any report that includes grade level 12.

Report Input

This report is run at the District level only.

Field

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.

  • Current School Only – Includes all records associated with the current school that meet the selection criteria.

  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.

  • ASAP – Execute the report in the order it is received in the Report Queue.

  • At Night – Execute the report during the next evening.

  • On Weekend – Execute the report during the next weekend.

  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyyor mm-dd-yyyyto run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Report Period

Choose the appropriate report period from the pop-up menu:

  • First Period

  • Second Period

  • Annual

Start date of the report period

Enter the start date for the report period chosen. This value defaults to July 1st of the school year selected at the top of the page. To change the term, click Term at the top of the page and select a different term from the pop-up menu.

End date of the report period

Enter the end date for the report period chosen.

Select Sub-District

If you are at the School Level, you can select only the Current School.

If you are at the district level, you can choose the sub-district and select the list of schools in the sub-district. You need to set up sub-district to view the schools in the subdistrict. 

  • Select All Schools or Multiple Schools in the Sub-District.

Report Output

Each of the fields displayed in the output of the report are described below. See  Understanding the Report Output Tables for a definition of each column in the table.

Note: The report determines whether the student is enrolled in IS by referring to the student's special program enrollment. The special program must be associated with the CDS – Community Day School AEP program at the district level. The related tables and fields are:

  • [Gen]Cat=specprog

  • [Gen]ID=[SpEnrollments]ProgramID

  • [SpEnrollments]StudentID

Report Output Format: The report output format for this report is pdf.

Description

Grade Level

Indicates the student's school enrollment grade level. This value is not derived from the special program enrollment.

Note: The Translated Text value from the appropriate Grade Level Mapping is used, if present. Otherwise, the numeric value from the Grade Level field is extracted in a 2-character format. EX: 1 = 01

[Students]Grade_Level

Mandatory Expulsions

A count of the number of students in the specified grade level with Mandatory Expulsion as the CDS Referral Method associated to their special program enrollment.

Other Expelled Including Suspended Expulsions

A count of the number of students in the specified grade level with Other Expelled Including Suspended Expulsions as the CDS Referral Method associated to their special program enrollment.

Probation Referral

A count of the number of students in the specified grade level with Probation Referral as the CDS Referral Method associated to their special program enrollment.

A count of the number of students in the specified grade level with School Attendance Review Board Referred as the CDS Referral Method associated to their special program enrollment.

Other District Level Referral Process

A count of the number of students in the specified grade level with Other District Level Referral Process as the CDS Referral Method associated to their special program enrollment.

Total

A count of the total number of students in all grade levels with each specified referral method.
