Enroll New Student

To enroll a student for the very first time in school, use the special function Enroll a New Student.

Enter the student’s first, middle and last name. Choose the suffix from the pop-up menu.

Legal Name (Last, First Middle Suffix)

Enter the student’s legal first, middle and last name. Choose the suffix from the pop-up menu.

This field overrides student name on state reports. This field is only required if legal name does not match preferred name.

If the student's legal name matches the student's preferred name, click Copy to populate the legal name fields. If the student's legal name does not match the student's preferred name, enter the student's legal name.

Note: The name field appears read-only for a Principal with view-only rights.

Enter the student number, or leave blank to auto-generate the number.

The value can either be entered manually, or system generated. The maximum number of characters for CALPADS is 10.

Note: The enrollment entry date may or may not match the school entry date (also seen as the School Start Date).

Important: A student’s enrollment Entry Date must be the first date that the student generated ADA. Do not use entry dates prior to when the student generated ADA or days that are not in session.

Full-Time Equivalency

Choose the student's full-time equivalency (FTE) value from the pop-up menu.

FTE is a grouping that associates a student's school enrollment with a set of attendance conversion values. When ADA runs for a student, it runs for each school enrollment during the report dates. When processing each school enrollment, it uses the student's FTE to locate the set of attendance conversions to use when looking up the attendance value for the day.

School Entry Date

Enter the first date that the student was enrolled in this school. This date is used for the student start date when reporting enrollments to CALPADS.

Student is enrolling in a California school for the first timeSelect the checkbox if the student is entering the California school system for the first time. Selecting this box triggers a page function that copies the value set for School Entry Date to the CA School Entry DateN/AN/A
California School Entry Date

If this is the student's first time enrollment in a California school, enter the date that the student first enrolled the school. This date is used to evaluate the Varicella immunization requirement:

  • If this field is blank, only one Varicella dose is required for age 13-17
  • If this field is populated, and the student's age at entry date is 13-17, two Varicella doses are required
  • If this field is populated, and the student's age at entry is 7-12, one dose is required.

Alternately, select the checkbox next to Student is enrolling in a California school for the first time to have the School Entry Date copied into this field.

Indicates whether the enrollment is excluded from the reports listed in the Used in these Reports column.

Indicates whether the school enrollment is excluded from California attendance reports.

Note: This flag is set to "No" for all the new enrollments and for transfer to a new school.

Choose the student's enrollment status.

Valid values:

  • (10) Primary Enrollment
  • (20) Secondary Enrollment
  • (30) Short Term Enrollment
  • (50) Non-ADA Enrollment Status

This field defaults to (10) Primary Enrollment.

Note: If the primary school of enrollment is on this PowerSchool server, choose primary and use the concurrent enrollments page to indicate any supplemental enrollments within your LEA.

Information for Family Match

Choose one of the following:

  • Enroll without Linking or Copying Information - Manually enter the parent/guardian information.
  • Search For Family Members to Link to and Copy Information from - Some students may be linked to other family members in the school district. If this option is selected, PowerSchool will search for relatives and auto-fill the fields. By creating a link between students, shared information can be synchronized so edits that occur to one student can automatically be made to the linked students.
