Physical Fitness Student File

Introduction

Public school students in grade levels five, seven, and nine are required to take the Physical Fitness Testing (PFT), whether or not they are enrolled in a physical education class or participate in a block schedule. Students include those enrolled in elementary, high, and unified school districts, county offices of education, and charter schools. School districts should also test all students in alternate programs, including, but not limited to, continuation schools, independent study, community day schools, county community schools, and nonpublic schools. Students who are physically unable to take the entire test are to be given as much of the test as conditions permit.

Beginning in 2009, student scores will be based on the student's age on the date when the first test is administered to the student. Therefore, the first day of testing must be added to each student's record.

Note: The Physical Fitness Test is TAB delimited. As a result, it can be opened in a text editor or in Excel as a delimited file.

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student must not be excluded from state reporting.

  • The student must be enrolled in a school included in the report.

  • The student must be enrolled in one of the following grade levels: 5, 7, or 9.

  • The student's school enrollment Entry Date must occur on or before the report end date.

  • The student's school enrollment Exit Date must occur after the report start date.

  • The school enrollment Exit Date must occur after the Entry Date.

This report is run at the School and District level.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.

  • Current School Only – Includes all records associated with the current school that meet the selection criteria.

  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

The selected [number] students only – Run the report for students in the current selection.

  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to runningreport.

Begin Date and Ending Date

Enter the start and end dates for the report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.

  • ASAP – Execute the report in the order it is received in the Report Queue.

  • At Night – Execute the report during the next evening.

  • On Weekend – Execute the report during the next weekend.

  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Pick a date using the date picker (the format mm/dd/yyyyor mm-dd-yyyy) to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Note: If no value is entered for a particular aspect of the physical fitness test, the report extracts blank, rather than zero. A zero indicates that an attempt was completed with a score of zero.

Report Output Format: The report output format for this report is a fixed length and caret delimited.

If Yes is selected for the field Incomplete Data on the Physical Fitness Testing page, a value must be selected for Reason for Incomplete Data. If a reason is not selected, the warning will occur.

Choose a reason for incomplete data for the Physical Fitness Testing record.
