Work-Based Learning Extract EOY 20-21

Introduction

This extract is used to submit work-based learning completion information about a student.  The LEA is required to submit work-based learning completion information in any grades 9-12.

 The primary keys for the online processing of this extract include School of Attendance, Academic Year ID, SSID, and Work-Based Learning Type Code.  The record type code WBLR (Work-Based Learning) must be included in the Record Type field of each record. This record type is required to be submitted during the following snapshot collection window:

  • End of Year 1 – Course Completion

Selection Criteria

Include all Work-Based Learning updates for students in grades 9-12, enrolled at any time during the Reporting Year (e.g., Academic Year for which data is being reported).  The reporting dates should be within the currently selected school year.

This record may be submitted independently of other record types. However, an enrollment record for the School of Attendance during the Academic Year ID must exist for the student.

The California Department of Education (CDE) has added a new grade level of ‘TK’ that districts must use when reporting Transitional Kindergarten students to CALPADS. This new grade level will be effective starting with the 2023-2024 school year.

To support this functionality, PowerSchool has updated all California state reporting pages and reports to honor the grade level mappings as defined by each district.

The grade level is reported as mapped in all CA-specific reports once you meet the following criteria:

  • You are on PS Version 23.1 or higher

  • LTK Pref is enabled

  • While running the report, the selected school year is 23-24 or higher.

LTK Grade Level Mapping - valid values:

  • Grade 0 = KN

  • Grades -1 and below = TK, PS, IN

  • Grades >12 = AD

Description

Work-Based Learning Type Code

Enter the coded value representing the work-based learning that the student completed during the academic year, in any grades 9 - 12.

Note: You can create and edit Work-Based Learning Records for any student whose California Grade Level Override is set to a value of: “Grade 12 equivalent”

Internship ID

Enter the internship ID for work-based learning activity.

Work-Based Learning Hours - External

Enter Work-Based Learning Duration in hours. If it is decimal-based, round to the nearest whole number. For example,

  • If hours equal 90.4, round to 90

  • If hours equal 90.5, round to 91.

Internship- Employer Performance Evaluation Code

Enter the student’s performance code in the internship as evaluated by their employment supervisor.

  • 1 - Does Not Meet Expectations

  • 2 - Partially Meet Expectations

  • 3 - Meets Expectations

  • 4 - Above Expectations

Internship - LEA Sponsored Indicator

Indicate if the school, district, or county played a direct role in securing the internship for the student. A “Y” would indicate that the school, district, or county played a direct role in securing the internship. An “N” would indicate it did not.

Internship - Certified Supervised Indicator

Indicate if the internship was part of a program supervised by a certificated staff member of the school, district, or county. A “Y” would indicate that the internship was part of a program supervised by a certificated staff member of the school, district, or county. An “N” would indicate that it was not.

Bypass Validations

Choose Yes or No from the drop-down list to run the validation for Work-Based Learning Extract.

If the report identifies errors in data, a page appears with the list of the errors. If the report does not identify any data errors, the extract completes as expected.

School Group 
Note: This overrides the Use selection above.

Choose a group of schools to override the above "Use" parameter indicating District-Wide vs.Current School Only. The extract includes student records associated with the selected schools that meet the selection criteria.

Note: This parameter is optional. The “School Group“ Report parameter will only be available when the sub-district functionality is not enabled.

A unique identifier for the school that delivers a majority of educational instruction and services and is where the student attends.

1)    If School of Attendance NPS is populated,

The report locates the School of Attendance for a student based on the school associated with the enrollment. Each school is assigned a 7-digit School Number, which is used as the School of Attendance value.

Academic Year ID

A unique identifier assigned to a specific Academic Year in which the data are being reported. An Academic Year is the period during which school is in regular session and provides a required number of days of instruction (175 days in California).

 Format: CCYY-CCYY (ex. 2008-2009) Indicates the school year associated with the year in which the data are being reported.
