CASEMIS Extract A

Introduction

California Special Education Management Information System Software (CASEMIS) Extract A is designed to report student level data to the California Department of Education (CDE). The extract file contains the following records:

  • One record for each student who is eligible for and received special education services.

  • One record for each student referred and evaluated, but not eligible for special education or related services.

  • One record for each student referred, and found eligible, but who did not receive special education and related services because a parent declined services, or the student was placed by a parent in private school where no ISP services were provided.

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student must not be excluded from state reporting.

  • The student's school enrollment must not be excluded from state reporting.

  • The student's school of enrollment must not be excluded from state reporting.

  • The student's Latest Evaluation Date for CASEMIS must occur during the Submission timeframe chosen at report runtime.

  • The student must have one CALPADS Program Record with an Education Program Code equal to 144 during the Submission timeframe chosen at report runtime.

This report is run at the School and District level.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.

  • Current School Only – Includes all records associated with the current school that meet the selection criteria.

  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.

  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Submission

Choose the appropriate submission from the pop-up menu:

  • December – Choose this submission to run the report for students who were enrolled in the school on December 1st of the reported school year.

  • End of Year – Choose this submission to run the report for students who were enrolled in the school between July 1st and June 30th of the year selected in the years and terms dropdown.

SELPA Code

Enter the Special Education Local Plan Area (SELPA) Code.
