Programs Fact Extract

Introduction

This extract is used to track student participation in the various programs like Bilingual Education and English as a Second Language, Home School, Vocational/Technical Education, etc. The report generates a comma-delimited file for students who were active on the Report Date.

Note: If charter school or home school students participate in a district activity, you must enter the student in the student extract in order to enter the student in the program facts extract. Use the district code and location code where the district activity was held.

Selection Criteria

Selection criteria determine which database records are used in the report.

Program Fact Selection

The report selects Program Fact records from the [S_NM_ProgramFact_C] table based on the following criteria:

  • The Program Fact beginning date must occur on or before the report date.

  • The Program Fact ending date must be blank, or 0/0/0.

Student Selection

The report selects student records from the [Students] or [ReEnrollments] table based on the following criteria:

  • The student must not be excluded from state reporting.

  • The student must be enrolled in a school included in the report.

  • The student’s school enrollment Exit Date must occur after the report date.

  • The student’s school enrollment Entry Date must occur on or before the report date.

  • The school enrollment Exit Date must occur after the Entry Date.

  • The students are extracted irrespective of whether the “Home Schooled & Taking Classes in District” flag is set or not.

Description

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Select Students

Choose one of the following:

  • The Selected [x] Students Only – Run the report for students in the current selection.

  • All Students – Run the report for all students in the current school or district.

Reporting Period

Choose a reporting period from the pop-up menu:

  • K3P

  • 40D

  • 80D

  • 120D

  • EOY

  • Summer

Select Report Date

Enter the report date. Data is extracted for a point-in-time, as opposed to a date range.

Report Mode

Choose one of the following:

  • Extract – Choose this option to run the extract version this report, which includes only the columns/fields required for submission to the state.

  • Audit – Choose this option to run the audit version of this report, which includes only the columns/fields for the purpose of reviewing program fact data. Run the audit version of the report to verify data before running the extract version.

The program in which the student is enrolled. If the Program Code is 3Y or 4Y, then the Student Snapshot current grade level must equal PK.

The date the student enrolled in the program.

The student’s participation info code. This field is only required if the Program Code is one of the following:

  • BEP

993 – Students who are hospitalized

997 – Students who are enrolled in a private school 

998 – Students who are homebound

999 – Students who are home schooled
