21-22 Student & Student Snapshot Template Updates

NM Student Template: Version 6.3

NM Student Snapshot Template: Version 5.6

Additional Reference: PSSR-271320 

The following updates have been made to the Student Template & Student Snapshot templates:

• New Elements

  • Column 24 - Guardian Daytime Phone

    • If the Guardian Name (element 22) is coming from the Guardian fields on the Parents page (Guardian_FN & Guardian_LN), the Guardian Daytime Phone will pull from the guardiandayphone field.

    • If the Guardian Name (element 22) is coming from student contacts, the phone number associated with that contact with the type of “DayTime” will be extracted. If no “DayTime” phone number exists, the report will pull the “Home” number and then the “Mobile” number.

  • Column 66 - Planned Post Graduation Activity

    • If Special Education (field 38) is Y, the value will pull from the S_NM_STU_X.SPEDPostGradActivity field

  • Column 192 - Guardian Email Address

    • If the Guardian Name (element 22) is coming from the Guardian fields on the Parents page (Guardian_FN & Guardian_LN), the Guardian Email Address will pull from the guardianemail field.

    • If the Guardian Name (element 22) is coming from student contacts, pull the email address associated with that contact flagged as “Primary”. Otherwise, the highest-ranking email address flagged as “Current” will be extracted.

  • Columns 208-224 Not Collected

  • Column 225 - Gender Identity

    • This value will be pulled from the Students.Gender field.

      • Note: To be able to report a value of X (Non-Binary) for students, the following option needs to be added to the Gender Code Set and then this value selected for the applicable students:

        • X - Non-Binary

      • Additional Note: If the value is not M, F, or X, the report will return a blank.

• Update Elements

  • Column 15 - Birth Gender Code

    • The report will first check the StudentCoreFields.PSCore_Legal_Gender field and, if it is not blank, will report the saved value (M for Male and F for Female). If the Legal Gender field is blank, the report will return the value in the Students.Gender field.

• Additional Change

  • The K5P reporting Period drop-down option and all logic pertaining to that reporting period have been removed.

The following updates have been made to the Course Instructor template for 21-22 reporting:

• The K5P option has been removed from the Reporting Period parameter

• All report logic specific to the K5P reporting period has been removed

The following updates to the Courses template have been made:

21-22 School Enrollment Template Updates

NM School Enrollment Template: Version 2.5

The following updates have been made to the School Enrollment template:

• Columns 8-18 - NotCollected

• Column 19 - DentalExamVerification

  • Source field: S_NM_STU_X.DentalExamWaiver or S_NM_REN_X.DentalExamWaiver

  • Note: This value will only extract if the student's earliest enrollment into the district has an entry date greater than or equal to 7/1/2021.

21-22 Staff Development Fact Template Updates

NM Staff Development Fact Template: Version 1.2

The Staff Development Fact Extract has been updated to match the 21-22 STARS specifications and now pulls data from the Staff Development Fact child table for staff members that are active on the reporting period date.

Report Output:

• Column 1 - District Code

  • Source Field: Prefs.Value where Prefs.Name = DistrictNumber

• Columns 2 - Staff ID

  • Source field: Users.SSN

• Column 3 - Activity Code

  • Source Field: S_NM_USR_DevFact_C.ActivityCode

• Column 4 - Activity Start Date

  • Derived from the reporting period selected when the report is run

• Column 5-7 - Not Collected

• Column 8 - Purpose Code

  • Source Field: S_NM_USR_DevFact_C.PurposeCode

• Column 9-12 - Not Collected

• Column 13 - Staff Earned Credits

  • Source Field: S_NM_USR_DevFact_C.CreditsEarned

  • Note: Only reported if Activity Code is MENTOR

• Column 14 - Activity Hours

  • Source Field: S_NM_USR_DevFact_C.ActivityHours

21-22 Student Course Enrollment Data Collection Updates

The following changes is made to the Course Content Code drop-down menu on the courses and sections page:

Start Page> School Setup> Courses> [Select Course]> Edit/New> Course Content Code

Start Page> School Setup> Courses> [Select Course]> [Select Section]> Edit/New> Course Content Code

• Added New Option: NMVCC - NM Virtual Course Consortium

• The disabled options HYBRID, IDEAL, ONLINE, and BLB have been grayed out and moved to the bottom of the drop-down.

The following updates is made:

• Remove the K5P option from the Reporting Period parameter on the run report page

• Remove the logic from the report for the K5P reporting period

21-22 Student Daily Attendance Template Updates

NM Student Daily Attendance Template: Version 2.5.

The following updates have been made to the Student Daily Attendance template:

• The report will now return only the following Attendance Code Long values when run for 40D, 80D, and 120D:

  • K5PATTD = Attended K5P

  • K5PABS = Absent K5P

  • ELTPATTD = Attended ETLP

  • ELTPABS = Absent ELTP

  • RMTEATTD = Attended Remote Learning

• The report will return the following Attendance Code Long values when run for EOY:

  • K5PATTD = Attended K5P

  • K5PABS = Absent K5P

  • ELTPATTD = Attended ETLP

  • ELTPABS = Absent ELTP

  • RMTEATTD = Attended Remote Learning

  • UNHDCO = Unexcused Half Day Absence Religious or Cultural Observance

  • UNFDCO = Unexcused Full Day Absence Religious or Cultural Observance

  • EHDCO = Excused Half Day Absence Religious or Cultural Observance

  • EFDCO = Excused Full Day Absence Religious or Cultural Observance

• Absent Codes vs Attended Codes

  • The report will return attended and absent codes based on the Attendance Conversion

    • In order for a student to be reported with an absent code (K5PABS or ELTPABS), the student must receive 0 ADA for the day, based on the attendance conversion

• Reporting K5P

  • For the report to return the two K5P Attendance Code Long values, the following must be done:

    • The day in question must be flagged as a K5P day in the respective school calendar

      • S_NM_CLD_X.K5P = 1

    • The student must be flagged as a K5P student

      • S_NM_STU_X.K5P = Y or S_NM_REN_X.K5P = Y

    • The student will be reported as attended or absent based on their ADA as defined by the attendance conversion.

      • The student will only report as absent (K5PABS) is they received 0 ADA per the attendance conversion.

• Reporting ELTP

  • For the report to return the two ELTP Attendance Code Long values, the following must be done:

    • The day in question must be flagged as an ELTP day in the respective school calendar

      • S_NM_CLD_X.ELTP = 1

        • Note: If a day is flagged as an ELTP day in the school calendar, everyone in the building will receive one of the two ELTP attendance code long values on that day.

    • The student will be reported as attended or absent based on their ADA as defined by the attendance conversion.

      • The student will only report as absent (ELTPABS) is they received 0 ADA per the attendance conversion.

• Reporting RMTEATTD

  • For the report to return the RMTEATTD Attendance Code Long value, the following must be done:

    • An attendance code must be designated to count as the Remote Learning Present Code.

      • This is done on the Edit Attendance Code page.

    • Students, on the appropriate day, must be assigned the attendance code that is set to count as the Remote Learning present Code.

      • The student must also NOT receive 0 ADA based on the attendance conversion.

• Reporting Excused/Unexcused Absences Due Cultural Observance

  • For EOY reporting

  • The applicable attendance code (or codes) must be set to count as the Cultural Observance Absent Code.

    • This is done on the Edit Attendance Code page.

  • The absent code (or codes) MUST be set to either the Excused or Unexcused Attendance Code Category.

  • The student will receive the half-day or full-day attendance code long value based on the ADA they receive for the day based on the defined attendance conversion.

Important Note: This report requires the following three Attendance Code Categories exist (both the Name and Code MUST match the following):

• Unexcused

• Excused

• Suspension

All applicable attendance codes must then be set to the appropriate Attendance Code Category.

 21-22 Student Summary Attendance Template Updates

NM Student Summary Attendance: Version 2.4

The following updates have been made to the Student Summary Attendance Template:

New Elements:

• Column 11-14 - Not Collected

• Column 15 - Number of Scheduled Periods

  • This will pull from the PS_Membership_Defaults.Potential_Periods_Present field.

  • Note: The data is reliant on the Refresh Premier Views Data function.

• Column 16 - Number of Scheduled Periods Attended

  • This is pulled based on the data in the following two fields:

    • PS_Membership_Defaults.Potential_Periods_Present

    • PS_Membership_Defaults.Periods_Absent

  • Note: Attendance codes that are set to count towards the “Suspension” Attendance Code Category, or are absences, will be excluded from this count.

  • Note: The data is reliant on the Refresh Premier Views Data function.

• Column 17 - Number of Scheduled Periods Excused

  • This element will pull based on the data in the PS_Membership_Defaults.Periods_Absent field. The report will check the absence codes the student has received and count all that are set to count towards the “Excused” Attendance Code Category.

  • Note: The data is reliant on the Refresh Premier Views Data function.

Important Note: This report requires the following three Attendance Code Categories exist (both the Name and Code MUST match the following):

• Unexcused

• Excused

• Suspension

All applicable attendance codes must then be set to the appropriate Attendance Code Category.

NM Staff Language Template: Version 1.0

The new report named Staff Language Template is now available on the State Reports tab. This template returns a row for each staff member (in the Staff Template) and their home language value.

• Column 1 - District Code

  • Pull value using the existing logic found in other student/staff reports

• Columns 2 - Staff ID

  • Source field: Users.SSN

• Column 3 - School Year Date

  • Always YYYY-06-30

• Columns 4 - Language Code

  • Source field: S_NM_USR_X.HomeLangCode

• Column 5 - Language Use

  • Value is always HOME

PSSR-271204

New - Student Digital Resources Template

NM Student Digital Resources: Version 1.0
The new report named Student Digital Resources is now available on the State Reports tab. This report returns a row for each student active on the reporting date and their Digital Resources information.

Report Output:

• Column 1 - District Code

  • Source Field: Prefs.Value where Prefs.Name = DistrictNumber

• Column 2 - Location Code

  • The school number (or alt school number) of the school the student was at on the reporting period date

• Column 3 - School Year Date

  • Always YYYY-06-30

• Columns 4 - Student ID

  • Source Field: Students.State_StudentNumber

• Column 5 - Reporting Date

  • Pull the value based on the Reporting Period selected at report runtime

• Column 6 - Primary Learning Device Type Code

  • Source Field: S_STU_X/S_REN_X.DeviceAccess
