Student Grades Extract

Introduction

This extract generates a comma-delimited file containing one record per student grade. The Final Grade Store Codes must be set up at every school for this report  to run properly. This extract provides cumulative data for each STARS reporting date, and auto generates a “W” for dropped course enrollments that do not have a stored grade and the student was active on the 40D, 80D, or 120D reporting date. 

Selection Criteria 

Selection criteria determine which database records are used in the report.

Grade Selection

The report selects student records from the [StoredGrades] table based on the following criteria:

  • The grade must be associated with a school included in the report.

  • The grade must be associated with a term within the current school year.

  • The grade must be associated with a course for 7 to 12 grade levels.

  • The grade must be associated with a section that ended within the reporting period.

Student Selection

  • The report selects student records from the [Students] or [ReEnrollments] table who are not be excluded from state reporting.

  • The student is HSDA-flagged.

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • District Wide – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The District Wide option is only available when running the report from the District Office.

Restrict to these “Store Codes”

Select the appropriate store codes to narrow the selection of grades. Use CTRL or SHIFT to select multiple codes.

Report Period

Choose a reporting period from the pop-up menu:

  • 40D

  • 80D

  • 120D

  • EOY

  • K5P

  • Summer

School Year Date

This value is automatically extracted as June 30th. The report determines the year by referencing the school year associated with the term selected when the report is run.

To change terms, click Terms at the top of the page and choose a term from the list.

The value is extracted in the format YYYY-MM-DD.
