FTE (October - March) Report 2024-25

Introduction

The FTE October/March Report extracts both basic and detailed student demographics.

The FTE October/March Report can be run in two different modes:

  • FTE Cycle 1 (October)

  • FTE Cycle 3 (March)

These reports use PS_AdaAdm_Defaults_All; this reporting view supports ADA/ADM calculation using default settings for all valid attendance mode and conversion mode combinations.

FTE October (Cycle 1) Report

The FTE October cycle 1 report includes both active and withdrawn students. The report extracts detailed student demographics, such as ESOL, Diploma Type, Transported Segments, Supplemental Speech Segments, and Inclusion Segments. The report also includes information for the federal December 1 count of students with disabilities, indicated by their Primary Area of Exceptionality (PAE). The report also includes course enrollment details such as Program Codes and Gifted Delivery Models.

FTE March (Cycle 3) Report

The FTE March cycle 3 report includes only active students. The report contains detailed student demographics, such as ESOL, Diploma Type, Transported Segments, Supplemental Speech Segments, and Inclusion Segments. The report also contains course enrollment details, such as Program Codes and Gifted Delivery Models.

Selection Criteria

Selection criteria determine which database records are used in the report.

FTE October Student Selection

The report selects records from the [Students] or [ReEnrollments] table based on the following criteria:

  • The student must not be excluded from state reporting.

  • If the report is not run district wide, the student must be enrolled at one of the selected schools.

  • The student must have an enrollment date in the current school year that is prior to or on the FTE count date.

  • The student must meet one of the following criteria:

    • The student must have an entry date before this year's FTE October Cycle 1 date and an exit date on or after this year's FTE October Cycle 1 date.

    • The student must have been previously enrolled in the selected school with an entry date before this year's FTE October Cycle 1 date and an exit date between last Year's FTE October Cycle 1 date and this year's FTE October Cycle 1 date, and be marked as graduated from the selected school. Note that if the graduated students school is not set to exclude from state reporting, students will be reported as attending the graduated school.

    • The student must have been previously enrolled in the selected school with an entry date before this year's FTE October Cycle 1 date and an exit date between last year's FTE October Cycle 1 date and this year's FTE October Cycle 1 date, and have no subsequent enrollment record in the district.

FTE March Student Selection

The report selects records from the [Students] or [ReEnrollments] table based on the following criteria:

  • The student must be enrolled in the school chosen at report runtime.

  • The student must be enrolled on this year's FTE March Cycle 3 date.

  • The student must have an enrollment date in the current school year that is prior to or on the FTE count date.

  • The student must not be excluded from state reporting.

  • If the report is not run district-wide, the student must be enrolled at one of the selected schools.

When the student status in Current/Previous enrollment is Child Find, then report type will extract value S.

Field

Description

Select Schools

If run at the district level, choose one of the following:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included. Select schools to include in the report

  • All Schools – Run the report for the entire district.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Select Students

Run the report for the current selection of students or all students.

Current FTE date

Enter the FTE date for the current report cycle.

FTE Cycle

Choose the FTE Cycle of October or March. The report will contain the correct cycle period of 1 or 3.

Previous FTE date

Enter Previous Year FTE date when generating Cycle 1, enter Current Year October FTE date when generating Cycle 3.

File Path

The File Name is the district number, date, and time, in the format dddYYYYMMDDHHmi, followed by the provided File Suffix. For example a report run at district 999 on August 1, 2014 at 9:15 AM with a suffix of _AAA.txt will save the results to a file named 999201408010915_AAA.txt in the provided location. If no path is given, or if PowerSchool is unable to write to the given folder, the report will run but will not be saved to the server.

Use Last In-Session Date before the Exit Date as Withdrawal date

When this option is selected, the report extracts any exiting student's withdrawal date as the last in-session day before the student's exit date. This prevents overlapping enrollment dates when a student withdraws from one school and enrolls in another on the same day.

Note: This option does not apply to No-Show students (students with an Exit code of 'U' and Exit Date after the last in-session date).

File Suffix

The provided file suffix for the file path (see above).

SFTP connections

Choose the defined SFTP connection to use for sending the file to a remote location or leave as (Disable).

Prior Ten Days

Indicates whether the student has been present for at least one of the 10 school days immediately preceding the FTE day.

The report runs a PowerSchool ADA calculation to determine if the student was present at the school for 0.5 days or greater during the 10 days prior to this year’s FTE date, entered at report runtime. The calculation results in a value of Y or N:

  • Y – Present at least 1 day of the 10 days prior to the FTE day.

  • N – Not present any of the 10 days prior to the FTE day.

Note: If duplicate attendance records cause an issue with the attendance query, the report returns ‘X’ for the Prior Ten Days value. This value is invalid and will result in errors at the state. Follow guidance for finding duplicate daily attendance records.

Program codes are calculated based on the course numbers and state specific course fields associated with the student’s course enrollments. See Program Codes for more details and a list of valid Program Codes.

The following rules apply to all of the program codes:

  • If Use Manual Override is selected on the FTE Student Information page, the report will extract program codes manually entered for students.

  • For October, this field is not extracted if the student’s exit date occurs on or before this year’s FTE date.

Withdrawal Date

The date the student withdrew from school. This is usually the day after the student’s last day in class.

This value is extracted from the Exit Date field on the Transfer Info student page if the student has a school enrollment that meets the following criteria:

  1. The exit date occurs before this year’s FTE date.

  2. The enrollment is not in the Graduated Students School.

Note: If Use Withdrawal Date as One day before Student Exit Date is selected in the report input, the report output displays the Withdrawal date as one in session day prior to the actual exit date.
