Student Setup

Introduction

The following data elements are required for student setup. The first two pages of navigation are removed for brevity:

Start Page > Student.

  1. On the Start Page, select the School link at the top of the page.

  2. Choose the appropriate school.

  3. Click Submit.

  4. Select the first letter of the student's last name.

  5. Select a student from the list. The last accessed student information page opens for the student selected.

When a student is enrolled, or at the beginning of a school year, the status for each student should be set considering the question “What was the student’s status on the FIRST DAY of this enrollment?”

For FTE March Cycle 3 the Student Status should always be reported as ‘N’ per the FTE layout rule which states: If REPORT PERIOD = '3', STUDENT STATUS must be = 'N' (Normal) and withdrawal date and reason must be blank.

Student Status of W is calculated depending on the student’s enrollment status and exit date as of the state report Count Date.

On the Transfer Information page of a student, if Pre-Registered is displayed, then the student is excluded from the C01 Student Level report. Pre-Registered students are the ones who have started before the entry date. The enrollment status for Pre-Registered students is stored as -1 in the database.

The student’s system of residence. This is the code for the Georgia system where the student resides, and is required when the student’s system of residence is not the local district. This code is entered on the General Information page.

  • System of Residence code must be an active system code in the Facilities Database in the range of 601-799, 800 for non-resident, or 801 for international exchange Students.
