E01 - Student Safety

Introduction

The E01 - Student Safety report extracts student safety incident data. One record is transmitted for each incident or disciplinary action that occurs during the school year, regardless of whether the student is active at the end of the school year. Discipline records are not reported for pre-K students.

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

  • The report selects records from the [Students] table that are associated with a log entry record from the Log Entry Selection below. [Students]ID = [Log]StudentID.
  • The student must not be excluded from state reporting.

Log Entry Selection

The report selects records from the [Log] table based on the following criteria:

  • The log entry Incident Date ([08]Discipline_IncidentDate) must occur on or after the report start date.
  • The log entry Incident Date must occur on or before the report end date.
  • The field "During disciplinary action did student receive educational services?" should not be blank.
  • Either the Action Taken Detail OR Incident Type Category must be state reportable. The following OR condition is considered:
    • The log entry Action Taken Detail ([08]Discipline_ActionTakenDetail) must equal 00, 02, 10, 20, 30, 40, 50, 60, 61, 62, 63, 70, 80, 90, or 95, OR
    • The log entry Incident Type Category ([08]Discipline_IncidentTypeCategory) must equal 00, 01, 02, 03, 04, 05, 06, 07, 08, 09, 10, 11, 12, 13, 14, 15, 16, 17, 18, 19, 20, 21, 22, 23, 24, 25, 26, 27, 28, 29, 30, 31, 32, 33, 34, 35, 36, 40, 42, or 44. 
      • Note: Only the above Incident Type Categories are reported, regardless of whether other categories - such as 99 - are entered in the Incident Type Category field.

Description

Select Schools

If run at the district level, choose one of the following:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included. Select schools to include in the report
  • All Schools – Run the report for the entire district.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Current Selection Students

Run the report for the current selection of students or all students.

Report Start Date

Enter the start date of the report. Note: Enter the date in a format of MM/DD/YYYY.

Report End Date

Enter the end date of the report. Note: Enter the date in a format of MM/DD/YYYY.

File Path and File Suffix

The File Path and File Suffix must both be valid in order to save the results to a location on the server. The File Name will be the district number, date, and time, in the format dddYYYYMMDDHHmi, followed by the provided file suffix. For example a report run at district 999 on August 1, 2014 at 9:15 AM with a suffix of _AAA.txt will save the results to a file named 999201408010915_AAA.txt in the provided location. If no path is given, or if PowerSchool is unable to write to the given folder, the report will run but will not be saved to the server.

SFTP Connections

Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

The students with Dexter Mosely set as Yes in the State Information page are not included in the report output.

Incident Number

A sequential number that identifies a specific discipline incident. Each discipline incident for a student should have a unique discipline incident number.

Note: The report determines whether the student has multiple discipline incidents and numbers the incidents sequentially. The report also determines if the discipline incident is part of a multiple incident or multiple action entry based on the Data Type Indicator.

The counter uses the following fields:

Data Type Indicator

A code that identifies whether the record is complete, with the incident and action taken, or whether it is a continuation of a multiple incident or action event.

The social security number (dashes removed) of the teacher removing the student from class.

Note: This field is extracted if the Discipline Action Code is 90. Otherwise, the report extracts a null value.

Indicates auxiliary information as noted.

Administrator Code

The social security number of the principal (or principal’s designee) that administered the discipline action. This must be the same number used to report the person in CPI.

Note: The report converts the Administrator Code to SSN.

Event Identifier

The sequence number that uniquely identifies an event that involved multiple students.

This identifier allows multiple students to be associated with a single incident and is required for events involving multiple students.

Indicates whether the student continued to receive educational services during the disciplinary action for students who were suspended or expelled.

Note: Report extracts Y if the Discipline Action Code is equal to 30, 40 and the Continuation Code is Y.

Number of Days

In prior years, the Auxiliary Code was used to report both codes and days for certain actions. Half days had to be reported with a code ‘99’ because the Auxiliary Code could not accommodate decimals.

Starting this year, any action requiring the reporting of days has been removed from the Auxiliary Code to its own data element the allows one decimal position.

The far right digit is the decimal position.
