Refresh FTE Segment Report

Introduction

The Refresh FTE Segment report is designed to automatically assign values for the following data elements to students for each FTE segment in the day:

  • Program Codes
  • Gifted Delivery Model
  • Transported Segment
  • Supplemental Speech Segment
  • Itinerant Teacher Segment
  • Inclusion Segment
  • Location of Enrollment
  • Fiscal Agent (Obsolete as of 2015-2016)
  • Dual Enrollment Type (Obsolete as of 2015-2016)

This report should be run before running the FTE October Cycle 1 or FTE March Cycle 3 reports.

Note: The Georgia FTE Method includes detailed information on the logic that generates the Program Codes and related segment detail extracted in the FTE October Cycle 1 and FTE March Cycle 3 state reports for Georgia.

During FY2012 the FTE Method changed to the FTE Refresh Package. The FTE Refresh Package is not a report. It is a database package which contains the logic that generates Program Codes and related segment detail. The FTE Cycle reports no longer reference the FTE Refresh Package directly. Instead, you must run the Refresh FTE Segments report, which uses the FTE Refresh Package to calculate details needed by the FTE Cycle reports. The Refresh FTE Segments report must be run before each FTE reporting cycle so current information is gathered and stored for use by the FTE Cycle reports.

If the "Use Manual Override" checkbox is selected on the FTE Segment information page, then the values determined by the report are only populated on the top portion of the page, in order to preserve past data entry on the bottom of the page. If the checkbox is not selected, then the values determined by the report are populated in both the top and bottom portions of the page.

The data created by the Refresh report is stored in an extension of the Students table in the PowerSchool database and displayed on the FTE Segments Information page. The FTE October Cycle 1 and FTE March Cycle 3 reports reference the data directly from the extension table.

Selection Criteria

Selection criteria determine which database records are used in the report.

  • The student must be enrolled in the school or schools included in the report.
  • The report may be run for all students or a selection of students.

Description

Select Schools

If run at the district level, choose one of the following:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included. Select schools to include in the report
  • All Schools – Run the report for the entire district.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Select Students

Run the report for the current selection of students or all students.

FTE Cycle

Choose the FTE Cycle of October or March. The report will contain the correct cycle period of 1 or 3.

Current FTE Date

Enter to FTE date for the current cycle. This date is used to select the student's course enrollments for consideration by the FTE Method.

The date given should be a Calendar In-Session day for the school. If the school is on break on the normal FTE Date then contact GA DOE for alternate FTE Date.

Note: Enter the date in a format of MM/DD/YYYY.

This school has a BLOCK SCHEDULE

Choose the appropriate school to include in the report from the pop-up menu. Choose Yes or No from the pop-up menu to indicate whether the school uses a 4-period instruction day, known as a Block Schedule.

Note: For purposes of reporting FTE, the academic day is thought of as being divided into six equal segments of instructional time. If a school uses an alternative student schedule, known as BLOCK SCHEDULE, which results in a four-period instruction day with 4 classes on Day A, and 4 different classes on Day B, the system will collect the four classes which are scheduled on the FTE count date and the four classes from the day before the count date and will reduce the total segments to six based on the segment weights. Only choose BLOCK SCHEDULE = YES if scheduling matches the explanation here.

Expand Multiple Period Expressions

Select the checkbox when a Program Code is expected for each period of a multiple period expression. Without the checkbox the expression 1-3(A) will result in one Program Code; with the check box the expression 1-3(A) will result in three Program Codes.

Note: The expand check box affects expansion of all multiple period expressions for this school.

Report Output

The report displays the following messages for each student:

  • For Student [Student Name] (student ssn).

This is followed by two further messages, depending if the update succeeds or fails.

When the results are successful:

  • FTE segment details were updated successfully.

When the results are not successful:

  • FTE segment details failed to update.

When the manual overrides are updated successfully:

FTE segment manual overrides were updated successfully.

When the use manual override box is checked, the manual overrides are NOT updated:

  • FTE segment manual overrides were NOT updated.
  • When the manual overrides are NOT updated successfully:
  • FTE segment manual overrides failed to update.

The report displays the following message if the provided FTE date is invalid for the selected school. If the report is run for multiple schools, this message will appear at the beginning of the result file, followed by the results for schools where the provided date is valid:

  • Current year's FTE date (FTEdate) is not in session. Please select a valid date for School # [School_Number]. If running at the District, the FTE date must be in session for all schools.

The report displays one of the following messages if the GA FTE Refresh Package encounters an error:

  • Error retrieving student data. Report stopped.
  • Error retrieving course data. Report stopped.
  • Error matching course and student data. Report stopped.
