Student Attendance Audit Report

Introduction

This is an audit report for attendance data submitted to the state via the Ed-Fi data exchange.

For students whose absences are reported to the state, the Student Attendance Detail report shows the amount of absence for each date a student is not fully present. The report also displays either the minutes attended/possible or the periods attended/possible (depending on the school’s attendance method), and the attendance percentage for the day.

Students in grade levels below 0 are included in attendance reports only if they are reported with Early Learning Setting Codes 01-05.

Selection Criteria

Selection criteria determine which database records are used in the report.

  • Data for each student is listed by Enrollments in the selected year. 

  • Grade levels to include: 

    • Students in grade levels below 0 are included in attendance reports only if they are reported with Early Learning Setting Codes 01-05 (Courses and Program → Student Program → Participation Info Code = EC0001/EC0002/EC0003/EC0004/EC0005) 

    • KG – 12 

  • The student attendance was published in Ed-Fi. 

  • The studentUniqueId is populated in PowerSchool. 

  • The student is NOT excluded from state reporting. 

  • The student has an active school enrollment. 

  • The school NOT excluded from state reporting. 

  • For attendance based on sections, the student has an enrollment in at least one course that is NOT excluded from ADA calculations ("NE_StateExcludeFromReporting" and "Exclude_State_Rpt_YN"). 

  • On the date of the attendance event, the student must have a daily attendance record with an absent Code or Code to Day or have meeting attendance records where the percent absent is greater than zero

  • Active students between Enrollment Start and End dates. 

Formula

  • NDE ADA SHARE is calculated as (DAYS PRESENT/CALENDAR DAYS IN SESSION x (NDE FTE_Membership Value/100)) x100 then rounded to four digits after decimal place. 

  • NDE ADM SHARE is calculated a (DAYS ENROLLED/CALENDAR DAYS IN SESSION x (NDE FTE_Membership Value/100) ) x100 then rounded to four digits after decimal place. 

  • (NDE FTE/Membership) X 100

Description

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Notes:

Student Selection 

Indicate which students to include in the report by selecting one of the following options: 

  • The Selected Number of Students Only 

  • All Students (default) 

Note: If running the report for a single student, or group of students, select the students prior to running report. 

Grade Levels 

Select the appropriate grade levels from the pop-up menu. Leave blank to select all grades for that school. 

Data to be filled 

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Attendance Code Categories 

Note: These codes are state downloaded codes shown under code set mapping.

Choose the appropriate attendance code categories from the pop-up menu. Leave blank to select all absences for that school. 

Choosing one or more attendance code categories will ensure the report includes only those absences that have at least one absence code for the day linked to the selected categories. When a category is selected, it will also include corresponding categories from other schools in the district to account for absences from classes taken at different schools.
