Student Summary Attendance Extract

Introduction

The Student Summary Attendance extract is a summary report of the total days present, total days absent, and days enrolled for a student. The extract is generated in a comma-delimited format.

Note: The report calculates all students as full-time, regardless of PowerSchool attendance setup. The state will calculate part-time students after the file is submitted.

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The Student Summary Attendance extract includes attendance records from the [Attendance] table that are related to student records from the [Students] or [ReEnrollments] table that meet the following criteria:

  • Students who are not excluded from state reporting.
  • Students who are enrolled in a school that is not excluded from state reporting.
  • Students whose school enrollment Exit Date is after the report start date.
  • Students whose school enrollment Entry Date is on or before the report end date.
  • Students whose school enrollment Exit Date is after the Entry Date.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Attendance Period Start Date

Enter the first in session day of the school year.

Attendance Period End Date

Enter the last in session day of the school year.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

This value is automatically extracted as June 30th. The report determines the year by referencing the last day in the current year term, as defined in the Years & Terms.

The date must occur before the current date.

Note: Period Start Date and Period End date must occur within the same school year.

Total Days Present

Calculated using the PowerSchool ADA calculation. The report totals the number of days that the student was either marked present, or not marked absent, depending on your attendance setup, between the report start and end dates.

Note: PowerSchool identifies attendance codes as present if the code is associated with a Presence Status of Present.

The value is multiplied by 100.

For example, if the FTE is 1, the report extracts 100.

If the field Kindergarten Student receiving less than 1,032 instructional program hours is set to Yes, then the report extracts HK.
