Student Grades Extract

Introduction

The Student Grades extract is a summary report of the grades for students in grade levels KG through 12 for courses completed during the school year. Grades are only required for high school courses for students in grade levels 9 through 12. For grade levels KG through 8, course enrollments are reported, but the course grade is not applicable. The extract is generated in a comma-delimited format.

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The Student Grades extract includes records from the [Students] and [ReEnrollments] tables that meet the following criteria:

  • Students who are not excluded from state reporting.
  • Students who are enrolled in a school that is not excluded from state reporting.
  • Students who are enrolled in the current school year based on the Term at the top of the page at report runtime.

Stored Grade Selection

The Student Grades extract includes grade records from the [StoredGrades] table based on the following criteria:

  • The student must be enrolled in grade level 9, 10, 11, or 12.

Note: Historical grades are not reported for students in grade levels PK – 8.

  • The historical grade must not be excluded from state reporting.
  • The historical grade must not be associated with a course or section that is excluded from state reporting.
  • The historical grade must be assigned one of the store codes entered at report runtime.

Course Enrollment Selection

The Student Grades extract includes course enrollment records from the [CC] table based on the following criteria:

  • The student must be enrolled in grade level PK, KG, 1, 2, 3, 4, 5, 6, 7, or 8.

Note: Current course enrollments are not reported for students in grade levels 9-12. Course information for those students is derived from the historical grade record.

  • The course enrollment must not be associated with a course or section that is excluded from state reporting.
  • The course enrollment must be active during the report date range (not dropped).

Field

Description

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Schools to Include

Select the schools to be included in the report. If you are running the report from a school, the selection defaults to your school.

Current Selection Students

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [number] Students Only
  • All Students (default)

Note: If running the report for a single student, or group of students, select the students prior to running report.

Session Type

Indicate the type of session for which you want to report grades. Options are:

  • Regular School
  • Summer School

Select Grade Scale

If applicable, select a Grade Scale from the pop-up menu

Select Report Type

Select the type of report to run. Options are:

  • Extract
  • Audit
  • Offsite Classes

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Location Code

The report extracts the value from the Alternate School Number field if it is populated on the Edit School page from where the course was taken. Otherwise, the report extracts the value from the School Number field from where the course was taken.

This value is automatically extracted as June 30th. The report determines the year by referencing the last day in the current year term, as defined in the Years & Terms.

NDE Staff ID Override

The identifier assigned to the staff member by the NDE.

Note: The extract reports the value in Historical > Stored Grades > NDE Staff ID. If that field is blank, the extract reports the value in Sections > NDE Staff ID Override. If that field is blank, the extract reports the teacher’s staff ID.

The student’s state assigned identifier.

Marking Period Number

The Marking Period is a key field. A value must be supplied for each record or the data loading process will reject the record. Provide the literal “0”. Always extracts as zero.

Alpha Grade

The final letter grade earned by the student. If the student is in grade level KG, 1, 2, 3, 4, 5, 6, 7, or 8, then a value of “0” is reported. If the student is in grade level 9, 10, 11, or 12, then the appropriate historical grade is reported, as follows:

  • A, A+, A- = A
  • B, B+, B- = B
  • C, C+, C- = C
  • D, D+, D- = D
  • F = F
  • P (Pass) = P
  • NP (Not Pass) = NP
  • Any other value = 0

  • 1 Synchronous - Not Career Academy
  • 2 Asynchronous - Not Career Academy
  • 3 Career Academy Synchronous
  • 4 Career Academy Asynchronous
  • 5 Career Academy In Classroom
  • 6 Iowa School for the Deaf Courses

Note: The extract pulls from the Historical > Stored Grades > Course Delivery Model field. If this field is blank, the value in the School Setup > Sections > Course Delivery Model is reported.
