Download Reconciliation Data

Before you can reconcile data, data must be downloaded from the ODS for comparison.

Allow adequate time for downloading before proceeding with reconciliation.

Reconciliation Data Page

The Reconciliation Data page displays a list of school records that exist in the state ODS but do not correspond to data published within PowerSchool.

Follow the steps below to view and resolve discrepancies for available resources.

  1. Switch to District Office using the school drop-down menu.
  2. On the Start Page, click System under Setup in the main menu.
  3. Under the Data Exchange section, click Data Reconciliation.
  4. Select the Profile.
  5. Select the Organization. This field contains the district and schools that have discrepancies. It is only populated if there are discrepancies between the state ODS and PowerSchool.
  6. Select the Resource. This field contains the resources that have discrepancies. It is only populated if there are discrepancies between the state ODS and PowerSchool.

If there are no discrepancies or if the reconciliation download was not completed, then the values for the Organization and/or Resource fields will contain [NO DATA FOUND].

Resolve Discrepancies

Organization and Resource fields operate independently. For each organization, select the resources. If the organization and resource has discrepancies, the results will appear. If no results appear, then there are no discrepancies in the organization and resources.

  1. On the Reconciliation Data page, click the Resource name to view the record details. The Details popup appears.
  2. Select the checkbox next to the records you want to delete from the state ODS and click Delete Selected, or click Delete All to delete all records with discrepancies for the organization and resource from the state ODS.

Dependency records will prevent the deletion of ODS records. Start with the highest dependency level when deleting records. For example, if you are deleting a section record, delete the dependent student section and staff section records before deleting the section record.

Resolve Discrepancies by Student

Reconciliation data can also be viewed and resolved for individual students. Follow the steps below to view and resolve discrepancies for an individual student:

  1. Select the student.
  2. Click Reconciliation under Data Exchange.
  3. Select the Profile. The reconciliation data for the student will appear. If no results appear, then there are no discrepancies for the student.
    1. Click the Resource name to view the record details. The Details popup appears.
    2. Click the Delete icon next to the record you want to delete from the state ODS. A Delete Confirmation pop-up appears.
    3. Click Proceed to delete the record for the state ODS.

Resolve Discrepancies by Staff

Reconciliation data can also be viewed and resolved for individual staff members. Follow the steps below to view and resolve discrepancies for an individual staff member:

  1. Select the staff member.
  2. Click Reconciliation under Data Exchange.
  3. Select the Reconciliation Data tab.
  4. Select the Profile. The reconciliation data for the staff member will appear. If no results appear, then there are no discrepancies for the staff member.
    1. Click the Resource name to view the record details. The Details popup appears.
    2. Click the Delete icon next to the record you want to delete from the state ODS. A Delete Confirmation pop-up appears.
    3. Click Proceed to delete the record for the state ODS.
