D - Course Catalog File 2023-2024

Introduction

The Course Catalog file includes all courses for all grade levels in the current school year at each school in the district. One record should be reported for each course offered at each school within the district. For example, if Eng101 is offered at two schools, there should be two records in the file for Eng101, one for each school in the district offering the course.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis of report results when the report does not return the correct records.

Course Selection

The report selects records from the [Courses] tables based on the following criteria:

  • The course must not be excluded from state reporting.

  • The course must be associated with a section taught during the current school year.

    • The section must be associated with a school that is not excluded from state reporting.

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet the selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

The All Schools option is only available when running the report from the District Office.

Current Selection Students

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [Number] Students Only – Run the report for students in the current selection.

  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

If you are running the report for a single student, or a group of students, select the students before running the report.


School Year

Choose the year for which to run the report.

Scheduling

Select Schedule to run the report on a specific date and time. The default selection is "Run Now."

Report Output

Each of the fields displayed in the output of the report is described below. See Understanding the Report Output Table for a definition of each column in the table.

Unique course number assigned by the school and district.

  • Records reported with sequence 1 (1 of 1) are reported as 'course_number.'

  • The file reports multiple Course Catalog records for single courses taught in multiple unique 'sessions' or sequences:

    • Example: if an Algebra I course (course number Alg1) is taught in 2 different sessions (terms), Semester 1 and Semester 2, and the two sections have sequence values of '1 of 2' and '2 of 2', then we report two Course Catalog records, appending _12 and _22 to the Local Course Number field (Course ID).

  • A file record needs to be created for each unique Sequence Group entered by users, having a unique CourseID for each D file record generated.

  • If users specify multiple unique Course Sequence Groups at the section level for a course, we need to report multiple D file records for each unique Course Sequence Group within a course. (See example below).

  • To achieve a unique CourseID value in the output when users specify multiple unique Course Sequence Groups at the section level for a course, we report multiple D file records for each unique Course Sequence Group.

    • We create 'CourseID' as follows for courses having multiple users entered Course Sequence Groups for a single PowerSchool Course: 'course_number_sequence_coursesequencegroup' (truncate at 20 characters).

Course Designation Code

Course designation code outlined in WAC 392-415-070. Include this field for grades 7–12 for all courses that receive high school credit.

A single course can have multiple designation codes. Refer to OSPI rules regarding which can go together. The report output does not display the concatenated value of codes.

If the user selects only the B course designation code, the report output displays B.

If the user selects only J or selects J along with other codes, then the report output displays only J.

If the user selects only J and B or selects J and B along with other codes, the report output displays only J B.

If the user selects other codes but does not select J and B, the report output displays only the other selected codes. For example, if the user selects the newly code Paid Work Experience (F) along with Science Lab (S) and Internation Baccalaureate (I), the report will display the value as “FSI”.

Sequence

This is an optional field for the 2021-22 school year. (Required for the school year 2022-23 and forward).

Identifies the order of the course reported in Element D04 – Course ID in a series of courses taken and reported with the same State Course Code in Element D08. The sequence of courses indicates only the order in which a series of courses are taken and does not indicate the length of the course or the amount of credit available to a course taker. This data should be interpreted as part 'n' of 'm', for example, Part 1 of 2 if a course is the first in a sequence of two.

If Section/Course sequence is blank, default to '1 of 1'.

Rule: If the course is not part of a sequence, report 1 – Part 1 of 1. Courses with the same State Course Code in Element D08 may be reported with a valid value of 1 – Part 1 of 1 if those courses are not part of the same sequence. Students do not need to take all parts of a given sequence while enrolled in the district.

Sequence Group

This is an optional field for the 2021-22 school year. (Required for the school year 2022-23 and forward).

Identifies the sequence grouping of the course for the sequence reported in Element D18 – Sequence. Each grouping that indicates a specific sequence of courses must have a unique group value reported in Element D19.

If Section/Course sequence group is blank, defaults to the course's course number field.

Rule: Courses with the same sequence group value must have the same State Course
code reported in Element D08 – State Course Code.
