Washington Reports in PowerSchool

The report description table includes the following elements:

  • Report Name – Name of the report as seen in PowerSchool.
  • Description – The purpose of the report.
  • Due Date / Cycle – The timeframe during which the report is submitted to the state.
  • The following reports are included in this section.

Washington High School Transcript

  • WA State Transcript 2008 and beyond (Legacy)
The WA High School Transcript includes final grade, credit, and test score information for students in grade levels 9 – 12. Courses completed in grade levels 7 and 8 also qualify when the grade record has potential credit.

There are three versions of this report:

  • Washing State Transcript 2008 and beyond – Use this transcript, because it is the most up-to-date. This transcript lists graduation requirements in addition to the grade and credit information included in the other transcripts.
  • Washington State Transcript PDF 2007 – This transcript lists the required WASL tests for Mathematics, Reading, and Writing as required for the 2007 graduation year. This report has not been updated since the 2007-2008 school year.
  • Washington State Transcript PDF – This transcript does not include any of the WASL test score information and can be used for transcripts before 2007. This report has not been updated since the 2007-2008 school year.

WA CEDARS Reports 2019-2020

The Comprehensive Education Data and Research System (CEDARS) is a longitudinal data system that allows the Washington Office of the Superintendent of Public Instruction (OSPI) to collect, store and report student, course, and teacher data.

There are 15 CEDARS files that must be submitted no later than the 15th of each month. See the following files:

Note: The Refresh Attendance Tracking Data report must be processed before the Student Absence File (N) to verify the attendance data is up to date.

WA CEDARS Reports 2018-2019

WA Learning Assistance Program ReportThe Student Growth File (formally know as the Learning Assistance Program) report (1094E) is used to gather student program participation, specifically those programs associated with Student Growth File (SGF). The SGF report uses the State Reporting Platform (SRP) which optimizes the performance of the report.As needed

WA Weapons in School Report

This report gathers student incident information, specifically state reportable suspensions, expulsions, behaviors, and weapons. The report counts those students who were engaged in any of these activities during the selected academic year.

WA_Attendance

This report gathers student attendance information including excused and unexcused absences. The report counts those students who attended at any time during the selected academic year except for Pre-Kindergarten and Post High School students.

Note: This is an internal report, not submitted to the state. This report is not optimized using ATN so may take several hours to run depending on the size of your school or district.

WA Unexcused Absence Report

This report gathers student attendance information including unexcused absences. The report counts attendance data for grade levels 1-12. The report output includes an audit report, grades 1-8 data, grades 9-12 data, and a summary report for aggregated data.

Note: The Refresh Attendance Tracking Data report must be processed before the Unexcused Absence report to verify the attendance data is up to date.

CEDARS Data Validations

This report is a student-level validation report based on OSPI Validation Messages used for CEDARS. A multi-selection “Select CEDARS reports” parameter is added to the report run page, allowing the user to generate only the errors associated with the selected CEDARS report(s).

The report output is comma separated with columns of error message, school name, school abbreviation, student number, student name and student entry date.

This file displays potential errors for the Discipline Incident File.(P).

K-3 Class SizeThis report returns a headcount by school of students in grades K-3 and an FTE summary of homeroom teachers teaching students in grades K-3.As needed
WA Health Immunization

WA Health Screening Report

This report gathers student health screening information. The report provides summary counts by screening type and screening outcomes. The report output includes an audit report and a summary report for aggregated data.

Note: This is the WA M873 Health Screening Report.

WA Preschool and Childcare Center Immunization Status Report

This report gathers Preschool and Childcare Center student immunization information. The report provides totals by exemption category, exemptions per vaccination, total number of student’s complete, conditional, and out of compliance. The report output includes an audit report and a summary report for aggregated data.

WA School Immunizations Report Grades K-12

This report gathers grade level K through 12 student immunization information. The report provides totals by exemption category, exemptions per vaccination, total number of student’s complete, conditional, and out of compliance. The report output includes an audit report and a summary report for aggregated data.

WA P-223 Reports

WA P-223 Form and Audit

Running this report generates two output files.

Form: Form P223 includes enrollment data based on student Full-Time Equivalency and a variety of programs. The data is used to calculate state basic education funding and levy authority transfers from serving school districts to resident school districts. The report also helps determine eligibility for local effort assistance (LEA).

Audit: This is a comma-delimited file of audit data from the P223 report. The Audit is for local use; not reported to the state. The Audit is available in both a long and short form.

WA P-223H Form and Audit

Running this report generates two output files.

Form: Form P223H includes enrollment data based on student enrollment in special education. The data is used to calculate state special education funding for each resident school district.

Audit: This is a comma-delimited file of audit data from the P223H report. The audit is for local use; not reported to the state.

WA P-223 Validation

This report includes the P223 Form, the P223 Audit, and a P223 Validation file.

The form and audit are as described above.

The Validation file includes the following:

  • Students who cause a data error when selected, causing the report to fail. The specific error is listed in the validation file.
  • Students who are listed more than once in the Audit file. These do not cause the report to fail, but are counted more than once in the P223 headcount and FTE.
  • Students who cause a data error when their courses are selected, causing the report to fail. The specific error is listed in the validation file.

WA Special Education Reports

WA Special Education Students Suspended/Expelled Report

This report gathers Special Education student suspension and expulsion information. The report counts students who were suspended or expelled during the selected academic year.

Refer to the Washington State Discipline Incident Report section for layout details of this report.

WA Special Education Initial Evaluation Timeline Report

This report gathers special education student initial evaluation timeline information. It provides various totals for the number of students who were determined eligible and not eligible and if applicable, determination delay reasons and number of school days delayed.

WA Special Education Part C to Part B Report

This report gathers special education student Part C to Part B transition information. It provides totals for the number of students who were determined eligible and not eligible by their 3rd birthday. If applicable, the report also provides determination delay reasons and number of calendar days delayed.

Imports
Student SSID Import

This import will process a file with the specified format, updating the SSID for the corresponding students. Students are identified by the district student ID (Student Number) and updated with the value in the SSID field.

WARNING! These changes are permanent. Please verify that the file format is correct and that the information to be imported is valid. We strongly recommend creating a backup of your data before importing your file in case there is an issue with the importing process or the data being imported.

Student SSID Bulk Upload FileThis action will take all the students without an assigned State Student ID (SSID) from PowerSchool and upload the files to CEDARS to assign the SSID. Once CEDARS assigns the new SSID, the student files may be imported back into PowerSchool by following the preceding import instructions.As needed

Civil Rights Data Collection (2017-2018)
CRDC Report (2017-2018)Civil Rights Data Collection Report. The Civil Rights Data Collection (CRDC) is a mandatory data collection, authorized under the statutes and regulations implementing Title VI of the Civil Rights Act of 1964, Title IX of the Education Amendments of 1972, Section 504 of the Rehabilitation Act of 1973, and the Department of Education Organization Act (20 U.S.C. 3413).

Attendance Tracking and Notification

Note: This report is not found on the state reports page. Navigate to System Reports > Attendance Tracking and Notification section to run this report.

Refresh Attendance Tracking Data

This report locates attendance qualified for tracking and notification, and then stores the information in the database. With this data stored, the performance of reports using attendance tracking and notification (ATN) data is improved by eliminating the need to calculate attendance values in real-time.

Note: ATN is used for:

  • CEDARS Student Absence File element N07, Absence Code
  • Washington Unexcused Absences Report
