Washington Attendance

Introduction

The purpose of this report is to gather student attendance information including excused and unexcused absences. The report counts those students who attended at any time during the selected academic year except for Pre-Kindergarten and Post High School students.

This report may be run at the school or district level and may take several hours to run depending on the size of your school or district.

This report can be used to identify the following totals:

  • The number of unexcused absences per [Students]Ethnicity, and low-income, special education and limited English students.
  • The number of students with 5 or more unexcused absences in a month.
  • The number of students with 10 or more in a year.
  • The total number of unexcused absences per student.
  • The number of students with unexcused absences. All absences are "days" of absence.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis of report results when the report does not return the correct records.

Student Selection

The report selects student records from the [Students] and [ReEnrollments] table based on the following criteria:

  • The student must be enrolled in a school included in the report.
  • The student must be enrolled in one of the following grade levels: K - 12.
  • The student's school Entry Date must occur on or before the report end date.
  • The student's school Exit Date must occur on or after the report start date.
  • The student must not be a no-show; i.e., their school Exit Date must be after their Entry Date.
  • The student must not be excluded from state reporting.

Use

Choose one of the following from the pop-up menu:

  • Current School Only – Includes all student records associated with the current school that meet the selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • District Wide (default) – Includes all student records on the PowerSchool server that meet the selection criteria.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2011 @ 10 AM : 05.

School Year

Choose the appropriate school year from the pop-up menu. The menu is automatically populated with the full-year term associated with the term currently selected at the top of the page. To change the School Year, click Term at the top of the page and choose a different term from the pop-up menu.

Start Date Override

Enter a start date for the report, if different from the first day of the school year selected.

End Date Override

Enter an end date for the report, if different from the last day of the school year selected.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

The identifier of the school at which the attendance was recorded.

The alternate school number is reported, if populated. Otherwise, the school number is reported.

The locally assigned student identifier.

The state assigned student identifier.

The student's first and last name.

The student's Scheduling/Reporting ethnicity.

Indicates whether the student participates in special education.

Indicates whether the student participates in the State Transitional Bilingual Program (STBP).

Low Income

Indicates whether the student receives free or reduced meals.

Grade Level

The student's grade level.

Entry Date

The student's school entry date at the time of the reporting period, reported in the format MM/DD/YYYY.

Exit Date

The student's school exit date at the time of the reporting period, reported in the format MM/DD/YYYY.

Calculation Start Date

The first date of attendance used in the attendance calculation. This date is the first day of the school year, unless a value is entered for the Start Date Override at report runtime. However, if the student's school Entry Date occurs first, then the Entry Date is used.

Calculation End Date

The last date of attendance used in the attendance calculation. This date is the last day of the school year, unless a value is entered for the End Date Override at report runtime. However, if the student's school Exit Date occurs after, then the Exit Date is used.

The report runs a standard PowerSchool ADA calculation to determine the number of days the student was present at school during the report period.

Excused Absence

The report calculates the number of days the student was excused during the report period based on the number of days the student was assigned an excused absence attendance code.

The report calculates the number of days the student was unexcused during the report period based on the number of days the student was assigned an unexcused absence attendance code.
