Student Infraction Response - Incident Management

Introduction

This report can run for the school level as well as from district. When run from the school, it is run for the school running the report. When run from the district, the report can run for one, multiple, or all schools.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student

The report selects records from the [Students] and [ReEnrollments] tables based on the following criteria:

  • The student must not be excluded from state reporting.

  • The student has one or more school enrollment records in any of the selected schools that meet the following criteria.

    • The enrollment record is not excluded from state reporting

    • The enrollment Exit Date occurs after the report start date.

    • The enrollment Entry Date occurs on or before the report end date.

    • The school of enrollment is not excluded from state reporting.

  • The student has one or more incidents that meet the following Criteria

    • Student is an Offender or a victim

    • Actions with State Detail Report Code = ISS, OSS, IAES School, IAES IHO, one record will be created for each action with these codes.

    • Only actions with the start date that falls between the report start and end date range selected are included.

      • If multiple actions have the same action code and start date, the logic picks the one that was added last - if this happens, the latest entered record is picked.

    • One or more behaviors associated with the student ( where behavior code = Drugs, Weapon, or Serious Bodily Injury)

      • Only these 3 behavior codes are reported

      • If the action code is linked with any other behavior, then the behavior code will be reported as blank

      • If the action code is IAES Removal by School Personnel, then behavior code is a required field, for other actions - it can be left blank.

      • If behavior code linked with this action is other than the 3 specified above, the action is not reported.

    • In an event where more than two reasons were associated with a response, report the most serious according to the hierarchy.  The most serious is “Serious Bodily Injury” followed by “Weapons” and “Drugs.”

Select Schools*

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Students to Include*

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection and meets the selection criteria.

  • All students – Run the report for all students in the current school, selected schools* or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Start Date

Enter the start date for the report. The start date is the first date that extract scans for student enrollments.

End Date

Enter the end date for the report. The end date is the last date that the extract scans for student enrollments.

SFTP connections

Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically.

Please refer to the System Administrator portion of the PowerSchool Administrator User Guide for details on how to create an SFTP connection for use with this new report parameter.

If user selects Days, report displays as it is.

If user selects Years, the logic ignores it.

If user enters hours, the logic divides it by 8 and round it off to the next whole number.

For example, if the user enters 27 hours, it comes out to be 27/8 = 3.375 which rounds off to 3.

If the user enters 29 hours, it comes out to be 29/8 = 3.625 which rounds off to 4.

Note: If the duration spans multiple school years (e.g., suspension started in May 2025 and ended in November 2025), then the user has to enter two records, one for each school year. If the user adds an action that spans multiple school years, the system does not support it.

SUSPENDED REMAINDER OF SCHOOL YEAR

For Response codes other than OSS, this field will be left blank.

  • Checks if the student was suspended until the last day of the school year. The logic uses End date from Action date range to compare. If yes, ‘Yes' is sent.

  • If the student exits before end of the school year and is suspended until exit date, then also ‘Yes’ is sent.

  • If no, then 'No' is sent.

  • This is a required field for Response Code OSS

  • The number of days suspended must be greater than or equal to 10 for this to be reported as Yes.

  • If the duration spans multiple school years (e.g., suspension started in May 2025 and ended in November 2025), then the user has to enter two records, one for each school year.
