Attendance Report Worksheet (SA-129)

Introduction

This report includes attendance values for the following grade level groups: AM Kindergarten, PM Kindergarten, Full-Day Kindergarten – 3, 4 – 6, 7 – 8, and 9- 12.

Before running this report, verify that the current term at the top of the page is set to a term within the reporting school year. In addition, verify that the schools included in the report have two semester terms defined via Start Page, School Setup, and Years and Terms. All calculations are dependent upon the dates entered for the Semester 1 and Semester 2 terms.

The Exclude From State Reporting checkbox at the school level does not apply to this report. Instead, select the Exclude School From Attendance Report (SA-129) checkbox.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to the selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] and [Attendance] tables based on the following criteria:

  • The student must be enrolled in the school at some point during the report date range.
  • The student must have attendance records for the school included in the report.
  • The student's grade level must be 0 (K), 1, 2, 3, 4, 5, 6, 7, 8, 9, 10, 11, or 12.
  • The student's school entry date must occur on or before the semester end date.
  • The student's school exit date must occur after the semester start date.
  • The student's school exit date must occur after the entry date.
  • The student must not be excluded from attendance reporting.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Select All from the pop-up menu. To clear all checkboxes, choose Clear All.

Semester 1 Start Date

Enter a date to override the default Semester 1 start date. If an override date is entered, an asterisk appears in the date section of the report.

Semester 1 End Date

Enter a date to override the default Semester 1 end date. If an override date is entered, an asterisk appears in the date section of the report.

Semester 2 Start Date

Enter a date to override the default Semester 2 start date. If an override ate is entered, an asterisk appears in the date section of the report.

Semester 2 End Date

Enter a date to override the default Semester 2 end date. If an override date is entered, an asterisk appears in the date section of the report.

List of location codes to be excluded

Enter a list of location codes to exclude students assigned those codes from the report. Separate multiple codes with a comma and no spaces, such as: 11111,22222

School Group

Select the Group of Schools to include in the report.

Note: This selection overrides the 'Use' section above.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

  • The report output for fields 7-14 are extracted in the following grade level groups, in addition to the individual grade levels
    • AM Kindergarten
    • PM Kindergarten
    • Full-Day Kindergarten – 3
    • 4 – 6
    • 7 – 8
    • 9- 12

All in session school days on and between the start and end date of the term.

The total Actual Days in Session less the days assigned a Calendar Membership Type “RH,” which indicates that the day is a religious holiday.

The possible number of days that the students could have been in attendance at the school, i.e. the number of membership days within the date range.

The number of days that the students were present at the school during the report date range.

The aggregate attendance days less the number of religious holidays during the report date range.

Weighting

The weighting used for the particular grade level. The weighting is as follows:

  • Half-Kindergarten Students: 0.5
  • Grade Levels K – 6: 1.0
  • Grade Levels 7 – 12: 1.25
  • Other Grade Levels: 1.0

Students are considered to be Half-Kindergarten if assigned KA or KP for Kindergarten Enrollment on the State/Province – NY > Miscellaneous page.

Weighted ADA

The weighted average daily attendance (WADA) total is calculated by multiplying the ADA by the corresponding weight for the grade level.

ADM

The average daily membership (ADM) for the students within the report date range. This value is the number of student membership days (days the students were enrolled in the school) divided by the total number of possible membership days.

Religious Holiday Adjustment

The table displays a row for each date in the school calendar assigned the Religious Holiday calendar membership type. To edit calendar membership types, navigate to Start Page, District Setup, and Calendar Membership Types. To adjust the school calendar, navigate to Start Page, School Setup, and click Calendar Setup.

  • A day must be marked as in-session day to be counted as a Religious Holiday,
  • If there are no days assigned as Religious Holidays, this table does not appear.
