Historical Grade Update Script

Introduction

This report allows you to identify, verify and update historical grade records that qualify as failing, based on the associated grade scale.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Selection

The report evaluates records in the [StoredGrades] table based on the following criteria:

  • The grade must be associated with a term that falls within the current school year (based on the term selected at the top of the page).

Field

Description

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Select All from the pop-up menu. To clear all checkboxes, choose Clear All.

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • District Wide – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The District Wide option is only available when running the report from the District Office.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Specify Class Duration

Drop down – Year long classes only or Classes in all terms.

Store Code

Used only for the Summer School option.

Write Mode

Choose one of the following from the pop-up menu:

  • No – Allows you to preview the report results.  All records that qualify to be updated will output for review.
  • Yes Stored grades records for the selected schools/students will be updated based on the following logic:
    • Records where the matching grade scale item is not marked as ‘Earns Graduation Credit’ will have the GPA_Custom1 field populated with an F to reflect a ‘failing’ grade. Existing values will be overwritten.
    • Records where the matching a grade scale item is marked ‘Earns Graduation Credit’ will not be updated.
    • Records where a matching a grade scale item is not found will not be updated.
    • A result file is generated indicating the number of records that were updated.

Report Output

Write mode set to “NO”:

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

The current value set for the Pass/Fail indicator in the stored grade.


When the report is run with the Write Mode set to ‘YES”, this value will be updated to reflect an F to reflect a failing grade.
