Course Instructor Assignment (SFTP)

Introduction

This report provides data about teachers and their course assignments, including the term, teacher assignment start and end dates, and whether they are a Primary and/or Special Ed Instructor.

You can choose to extract a header record and left pad State Staff IDs as in other reports. In addition, for this report, the Lead Teacher role is a default parameter and you can select additional or other Teacher Roles to include in the extract (e.g. Co-Teacher, Teacher's Aid, Class Observer, etc.).

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Section Selection

  • The course is not excluded from state reporting.

  • The section is not excluded from state reporting.

  • The section is at a school that is not excluded from state reporting.

  • The section's term has NY data set up to define the Term Code mapping (School Setup > Final Grade/Reporting Term Setup).

  • For all staff members assigned to the section, the NY State staff ID has been populated in the staff record that is tied to the school where the section is being taught.

Description

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Display Header

Choose Yes or No from the pop-up menu to indicate whether to display the header (data element name) for each column in the report output, as well as to display additional fields used to audit the data in the report.

Left pad State Staff ID with zeros

Select this option to use leading zeros to force the State Staff ID to be 9 characters.

For example, if a State Staff ID is 1234567:

  • With this option disabled, the State Staff ID will be extracted exactly as stored: 1234567

  • With this option enabled, the State Staff ID will be extracted as: 001234567

Exclude records with an Instructional Responsibility Weight equal to 0.00

Select this option to exclude teachers who have an Instructional Responsibility Weight of 0.00.

Roles

Select the course instructors to be reported, based on the section's roles. The default is Lead Teacher. Use Ctrl+click to choose multiple roles.

SFTP connections

Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically.

Please refer to the System Administrator portion of the PowerSchool Administrator User Guide for details on how to create an SFTP connection for use with this report parameter.

Note: Remote connection requires PowerSchool 7.1.4 or higher.

For public school districts, this code is: NYnnnnnn

(NY followed by the first 6 digits of the BEDS code)

Course Location Code

This is the local building code, used by the Data Warehouse, uniquely identifying the location associated with the course sections for which the staff person is responsible, typically assigned by the local student management system. 

For school districts and charter schools, this is the building code that uniquely identifies the building to which the staff person is assigned. 

For BOCES, this is a virtual location code.

Instructor District Code

The District Code of the entity which has primary control of the Primary Instructor’s course/section assignments. This is the same as the District Code.

NYC will use the Chancellor's Office code.

This is the New York State staff ID. If the report parameter option “Left pad State Staff ID with zeros” was enabled, 9 numeric characters are displayed.

The special education instructor for the course/section.

Instructor Type Code

Valid values:

  • BLANK (default)

  • SUBSTITUTE

  • COLLEGE

Reports Substitute teachers working more than 40 continuous days in the school. Users can also report College individuals acting as instructors of record for courses offered through an approved institution of higher education.

The value saved for a section in the [S_NY_STC_X].Instructor_type field is reported. If it is blank, the value saved in the staff demographics page ([S_NY_USR_X]Instructor_TYPE) is reported. If both are blank, the value is reported as SUBSTITUTE if Staff type is set to Substitute on the staff demographic page.

Primary Instructor Delivery Method Code

Indicates the delivery method of the instruction.

Valid values:

  • FACE - Instruction is delivered in a traditional classroom setting (Default).

  • DISTANCE - Instruction is delivered through Distance Learning Technology (videoconferencing) and students in multiple locations are engaged in instruction at the same time.

  • BLENDED - Some course instruction is delivered online and some is delivered in a traditional classroom setting.

  • ONLINE - Instruction is delievered in a fully online format and students may not be engaged in instruction at the same time.

Primary ENL Instructor Indicator

Indicates if the instructor has an ESL/ENL certification. This field displays for instructors designated as Lead Teacher, Co-Teacher, and/or additional teacher.
