School Enrollment Extract (SFTP)

Introduction

This extract contains student enrollment and withdrawal transactions at each school within each district. The report includes entry and/or withdrawal information in one record for each student.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] and [ReEnrollments] tables based on the following criteria:

  • The student's school Exit Date must occur after the report start date.

Note: If enrollment codes are entered at report runtime, the Exit Date can occur on or after the report start date.

  • The student's school Entry Date must occur on or before the report end date.
  • The student's enrollment must not be excluded from state reporting.
  • The student must not be excluded from state reporting.
  • The student must be enrolled in the school included in the report, which is not excluded from state reporting.
  • The student's Entry Code, Exit Code, Reason for Beginning Enrollment Code, and/or Reason for Ending Enrollment Code must match the code(s) entered at report runtime.

Description

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [number] Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Start Date

Enter the start date for the report.

End Date

Enter the end date for the report.

Include Last Day

Select the checkbox to include school enrollments where entry date falls on the report end date entered above.

Entry / Reason for Beginning Enrollment Codes

Enter one or more entry/reason for beginning enrollment codes to filter for in the report output. Separate multiple codes by a comma, without spaces, such as: E1,N2,P3

Choose whether to include or exclude students’ school enrollments assigned one the entry/reason for beginning enrollment codes listed above.

Exit / Reason for Ending Enrollment Codes

Enter one or more exit codes/reason for ending enrollment to filter for in the report output. Separate multiple codes by a comma, without spaces, such as: G1,S2,D3

Choose whether to include or exclude students’ school enrollments assigned one of the exit/reason for ending enrollment codes listed above.

Which Codes to Use

Choose whether you have entered entry/exit codes or reason for beginning/ending enrollment codes.

Display Header

Choose Yes or No from the pop-up menu to indicate whether to display the header (data element name) for each column in the report output.

Display grade levels 1-9 in single digit format

Select the checkbox to display grade levels 1-9 in a single digit format, as opposed to a double-digit format (01, 02, etc.).

SFTP Connections

Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically.

Please refer to the System Administrator portion of the PowerSchool Administrator User Guide for details on how to create an SFTP connection for use with this new report parameter.

Note: Remote connection requires PowerSchool 7.1.4 or higher.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

District Code

The student’s district of responsibility code proceeded by the letters “NY.”

If the Charter and Nonpublic Schools checkbox is selected on the Edit District Information page, then the 8-digit district code and 7-digit institution code should be reported. Otherwise, the 6-digit BEDS District Code is reported. Enter the appropriate code for the report during your setup.

Location Code

The student’s building of enrollment code.

The value from the Location Code on the Transfer Info page is reported, if populated.

School Year Date

June 30th of the current school year.

The report locates the last day of the current school year and inserts 06-30 in front of the year.
