Student Lite Extract (SFTP)

Introduction

This report exports student information district wide to the eScholar Student Lite template.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] and [ReEnrollments] tables based on the following criteria:

  • The student must not be excluded from state reporting.
  • The student has one or more school enrollment records that meet the following criteria.
  • The enrollment record is not excluded from state reporting
  • The enrollment Exit Date occurs after the report start date.
  • The enrollment Entry Date occurs on or before the report end date.
  • The school of enrollment is not excluded from state reporting.

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Run Report with Audit Fields and Headers

Choose Yes or No from the pop-up menu to indicate whether to display the header (data element name) for each column in the report output, as well as to display additional fields used to audit the data in the report.

Start Date

Enter the start date for the report. The start date is the first date that extract scans for student enrollments.

End Date

Enter the end date for the report. The end date is the last date that the extract scans for student enrollments.

Display grade levels 1-9 in single digit format

Select the checkbox to display grade levels 1-9 in a single digit format, as opposed to a double-digit format (01, 02, etc.).

Include graduation information

Choose Yes or No from the pop-up menu to indicate whether to include values for the following student fields: PostSecondaryPlans, Career Path and DiplomaTypeCode. These fields may only be submitted after June 30th of the reporting school year. If the Yes option is selected and the report is run and submitted to the state before June 30th, errors will be returned.

SFTP connections

Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically.

Please refer to the System Administrator portion of the PowerSchool Administrator User Guide for details on how to create an SFTP connection for use with this new report parameter.

District Code

The student’s district of responsibility code proceeded by the letters “NY.”

If the Charter and Nonpublic Schools checkbox is selected on the Edit District Information page, then the 8-digit district code and 7-digit institution code should be reported. Otherwise, the 6-digit BEDS District Code is reported. Enter the appropriate code for the report during your setup.
