Student Class Grade Detail Extract (SFTP)

Introduction

This report will generate one record for every student course enrollment / marking period combination that meets the selection criteria outlined below.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Grade Selection

The report selects records from the [CC] table based on the following criteria:

  • The grade must be associated with a term that corresponds to a NY Marking Period for the appropriate school.
  • The grade must be associated with a store code that corresponds to a NY Marking Period.
  • The grade must be associated with a student's course enrollment record where the enroll date begins on or before the report end date and the exit date occurs on or after the report start date.
  • The grade must be associated with a student's course enrollment record where the enrollment spans at least one in-session day.
  • The grade must be associated with a student whose school entry date occurs on or before the report end date and whose school exit date occurs on or after the report start date.
  • The grade must be associated with a class taught by an instructor who has the State Unique Staff ID.

Note: Student-level exclusion flags are not considered in the Student Grades report. Records marked for exclusion will be included in this extract per state requirements.

Description

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Select All from the pop-up menu. To clear all checkboxes, choose Clear All.

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • District Wide – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The District Wide option is only available when running the report from the District Office.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [number] Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Run Report with Audit Fields and Headers

Choose one of the following from the pop-up menu:

  • Yes – Include audit fields and headers
  • No – Do not include the audit field or the headers.

Start Date

Enter the report start date.

End Date

Enter the report end date.

Grade Type Codes

Select one or more grade type codes to be included in the report results.

Classes to Include

Select one of the following options:

  • All completed and dropped classes with stored grades
  • All completed and dropped classes without stored grades
  • All completed, dropped and in progresses classes without stored grades

Include Grade/Credit values for primary grades

Select the checkbox to include values for Numeric Grade, Credits Attempted and Credits Earned in the report.

Note: If not checked, Records are generated for students whose grade level is below 7 and the Numeric Grade, Credits Attempted and Credits Earned fields will be blank.

SFTP connections

Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically.

Please refer to the System Administrator portion of the PowerSchool Administrator User Guide for details on how to create an SFTP connection for use with this new report parameter.

Note: Remote connection requires PowerSchool 7.1.4 or higher.
