Assessment Fact Extract (SFTP)

Introduction

This extract includes a record for each assessment per student. The data include the name of the assessment, the overall score achieved on the assessment and the language in which it was administered. To assist in the data review process, the report may be run with Audit fields and the header column. Do not submit the eScholar Assessment Fact extract to NY State with the added Audit fields and headers.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] and [ReEnrollments] tables based on the following criteria:

The student must have an assessment record that meets the Assessment Selection criteria.
The student's school Exit Date must occur after the extract start date.
The student's school Entry Date must occur on or before the extract end date.
The student's enrollment must not be excluded from state reporting.
The student must not be excluded from state reporting.
The student must be enrolled in the school included in the report, which is not excluded from state reporting.

Assessment Selection

The report selects records from the [S_NY_STU_Assessments_C] table, based on the following criteria:

The date of administration must occur on or after the extract start date.
The date of administration must occur on or before the extract end date.
The assessment must be associated with a school included in the extract.
If the extract is run for only selected assessments, then the record must be associated with the test description selected at runtime.
If an item description was selected a report runtime, then the record must be associated with that item description.
The student must not be excluded from state reporting.

Field	Description
Select Schools	Choose one of the following: Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list. All Schools – Includes all student records on the PowerSchool server that meet selection criteria. Note: The All Schools option is only available when running the report from the District Office.
Students to Include	Indicate which students to include in the report by selecting one of the following options: The selected [number] students only – Run the report for students in the current selection. All students – Run the report for all students in the current school or district that meet the selection criteria. Note: If running the report for a single student, or group of students, select the students prior to running report.
Data to be Filled	Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Select All from the pop-up menu. To clear all checkboxes, choose Clear All.
Run Report with Audit Fields and Headers	Choose Yes or No from the pop-up menu to indicate whether to display the header (data element name) for each column in the report output, as well as to display additional fields used to audit the data in the report.
Start Date	Enter the start date for the report.
End Date	Enter the end date for the report.
Assessments To Include	Choose whether to include all types of assessments in the extract, or whether to specify one assessment, from the pop-up menu.
Test Description	Select the test description categories for which you want to run the extract from the list. Note: The College and Career Readiness and Regent Alternatives categories are moved to the Codes no longer used part. A new test description category called ADV is created that will include NYSED Approved Regents Examination Alternatives (approved alternatives) along with AP and IB exams that are used for calculating the College, Career, and Civic Readiness (CCCR) accountability indicator.
SFTP connections	Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically. Please refer to the System Administrator portion of the PowerSchool Administrator User Guide for details on how to create an SFTP connection for use with this new report parameter. Note: Remote connection requires PowerSchool 7.1.4 or higher.
Include Standard Achieved Scores	Select the checkbox to indicate whether to include Achieved Standard Codes from Student Selection > State/Province – New York > Assessments (Assessment Fact) > Edit/New Assessments Notes: Defaults to unselected. If unselected, no value is extracted for Standard Achieved Code for any student.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.
