Summer Class Grade Detail (SFTP)

Introduction

This report will generate one record for every stored grade / marking period combination that meets the selection criteria outlined below.

Selection Criteria

This report requires that additional setup be completed at the student, school and district level. These setup requirements are in addition to any previous setup requirements:

  • The creation of a Final Grade bucket that specifically represents grades earned as part of a summer school offering. (School > Final Grade Setup > New/Edit Final Grade).
  • The creation of a Marking Period record meeting the following requirements (District > Schools/School Information > Marking Period Setup):
  • The record is tied to the Final Grade bucket created for Summer School, where:
    • The term code is set to: S – Summer School
    • The grade type code is set to either: FG – Final Grade or SFG – Summer Final Grade
  • The existence of stored grade records for students where:
    • The course number has been populated.
    • The value for "Was this class taken in Summer School?" has been set to: Yes.
    • Summer School grades earned as part of a Credit Recovery plan should be marked accordingly.
    • For summer school grades imported with a SchoolID of "0", a Location Code Override value has been populated (Start Page -> Select Student -> Historical Grades -> Edit Stored Grade).
      • Any value stored in this field (other than null or blank) will be reported in the Location Code column

Notes:

  • Alternately, the Marking Period value equivalents can be entered manually, as part of the report parameters.
  • If the MP Override Option is set to either option 2 or 3, the report must be run for the Current School Only.
  • Student-level exclusion flags are not considered in the Student Grades report. Records marked for exclusion will be included in this extract per state requirements.

This report can only be run at individual schools.

Description

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Run Reports with Audit Fields and Headers

Choose Yes or No from the pop-up menu to indicate whether to display audit fields, along with a header row containing the name of each field included in the extract.

Start Date

Enter the report start date.

End Date

Enter the report end date.

Marking Period Override Options

Option 1 – Use Marking Period Setups

Identifies and extracts records based solely on the Marking Period records for the selected school(s)

Option 2 – Use Marking Period Override Values

Identifies and extracts records based solely on the values entered in the Marking Period Override fields when the report is initiated

Note: Run for Current School Only

Option 3 – Use both Marking Period and override values

Identifies and extracts records based on both the Marking Period records and the values entered in the Marking Period Override fields when the report is initiated

Note: Run for Current School Only

Select Term ID

Select the Term that represents the term ID on grades stored for Summer School. 

Store Code (A Single Value Only)

Enter the store code used when storing summer school grades. 

Marking Period (Extracted in All Records)

Enter the value to be extracted as the Marking Period Code in all records (Valid values are 1-8)

SFTP Connections

Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically.

Please refer to the System Administrator portion of the PowerSchool Administrator User Guide for details on how to create an SFTP connection for use with this new report parameter.

Note: Remote connection requires PowerSchool 7.1.4 or higher.

The 6-digit BEDS District Code is reported. Charter and nonpublic schools, state agencies, state-operated schools, and child care institutions should report 8nnnnnnn (8 followed by the last 7 digits of their institution code).
