Staff Snapshot (SFTP)

Introduction

This report includes a record for each active staff member meeting the selection criteria shown below.

Note: This report is no longer supported as of the 2015-2016 reporting year. The report is provided for local use only.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Selection

The report selects records from the [Teachers] table, based on the following criteria:

  • The staff member must be marked as "Active" on the Edit Information staff page
  • If no longer active, the staff member's exit date falls within the current school year.
  • The staff member must be assigned to at least one section scheduled for the current school year.
  • The qualifying section must contain one or more valid student class enrollments
  • The staff member must have one record in the database where "Primary Record Indicator" = Yes and the NY staff ID has been populated.

Field

Description

Run Report with Audit Fields and Headers

Choose one of the following from the pop-up menu:

  • Yes – Include audit fields and headers in the report output. The audit field assists with troubleshooting and the headers provide a title for each data element.
  • No – Do not include the audit field or the headers.

Left Pad State Staff ID with Leading Zeros (force 9 characters)

When this option is enabled, the State StaffID will be extracted with leading zeros to force 9 characters.

EX: State Staff ID as stored in PowerSchool: 1234567

  • With this option enabled (checked), the State Staff ID will extract as: 001234567
  • With this option disabled (not checked), the State Staff ID will extract exactly as stored (1234567)

SFTP connections.

Choose an SFTP connection from the pop-up menu to have the report output uploaded automatically.

Please refer to the System Administrator portion of the PowerSchool Administrator User Guide for details on how to create an SFTP connection for use with this new report parameter.

Note: Remote connection requires PowerSchool 7.1.4 or higher.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

The Staff Snapshot (SFTP) report is currently only supported for local use. For added convenience, columns 111-116 have been added to the output and will always be extracted as blank.

If the Charter and Nonpublic Schools checkbox is selected on the Edit District Information page, then the 8-digit district code and 7-digit institution code should be reported. Otherwise, the 6-digit BEDS District Code is reported. Enter the appropriate code for the report during your setup.
