Additional Days School Year (ADSY)

Overview & Purpose

The Additional Days School Year (ADSY) program allows participating Texas LEAs and campuses to report additional instructional half-days (up to 30 half-days or 25–30 full days depending on funding options) for eligible students in grades PK–8 for PEIMS Extended Year (Submission 4).

Important Architecture & Database Note:
PowerSchool SIS does not have a dedicated or standalone database extension table named S_TX_SEN_ADSY_X.

Student ADSY records are stored in the core Special Programs Enrollment table (SPENROLLMENTS [Table 41]) with the state program definition keyed under S_TX_GEN_X.state_program = 'ADSY' (Program Name: TX_ADSY). Other ADSY configuration data is maintained across core and extension tables for schools, calendars, and staff.


Use the following tables and fields when querying, exporting via Data Export Manager (DEM), or mass-importing via Data Import Manager (DIM):

Step-by-Step Setup and Administration


1. Campus / School Configuration

  1. Navigate to Start Page > District Office > District > Schools/School Info.

  2. Select the participating ADSY campus.

  3. Under Texas State Reporting Configuration / Additional Days School Year:

    • Set E1671 ADDITIONAL-DAYS-PROGRAM-INDICATOR-CODE to Yes.

    • Enter the ADSY Default Minutes (e.g., 120 for ½ day option or 240 for ¾ day option).

  4. Click Submit.


2. Years, Terms, and Calendar Setup

  1. Extend Year Term Dates:

    • Go to District > Years and Terms (and repeat at each ADSY campus under School > Years and Terms).

    • Ensure the End Date for the current school year term encompasses the final ADSY instructional date.

  2. Configure Calendar Days:

    • Navigate to Start Page > School > Calendar Setup.

    • Select the date(s) designated as ADSY days.

    • Check the ADSY Day checkbox (S_TX_CLD_X.ADSY_DAY).

    • Uncheck the In-Session checkbox and set Membership Value to 0.

    • (Optional) If the operational minutes on a specific date differ from the campus ADSY default, enter the override in Operational Minutes. Otherwise, leave blank.

  3. Click Submit.


3. Enrolling Students in the ADSY Special Program

Because ADSY attendance is not tracked through traditional period/daily attendance in PowerSchool SIS, student participation is recorded using daily Special Program records:

  1. Identify participating students for a given ADSY date (via spreadsheet list, Stored Search, or Selection).

  2. Select the student group on the Start Page.

  3. In the group Functions menu (bottom-right), select Mass Enroll in Special Program (under Enrollment).

  4. Configure the enrollment:

    • Special Program: Select TX_ADSY (or Texas Additional Days School Year).

    • Entry Date: Enter the specific ADSY instructional date (e.g., 06/15/2026).

    • Exit Date: Set to the immediate next day (e.g., 06/16/2026).

      Note: Each ADSY special program record covers a single day. The UI automatically enforces the exit date as Entry Date + 1 day.

  5. Click Submit.

  6. Repeat for each ADSY date.


4. Staff Responsibility Configuration

  1. Navigate to Start Page > Staff > Select Staff Member > Staff Responsibilities.

  2. Add or edit a responsibility record for the ADSY session:

    • Role ID (E0721): Must be 087 (Teacher) or 047 (Substitute).

    • Service ID (E0724): Valid instructional Service ID (e.g., 01010000 PK, 01020000 KG, 02000000 Elementary).

    • E1673 Additional Days Program Teacher: Set to Yes (1).

  3. Click Submit.


Extracting ADSY Data in Data Export Manager (DEM)

To verify, audit, or report ADSY data locally, export from the appropriate functional tables in Data Export Manager:

A. Exporting Student ADSY Participation Records

  1. Navigate to Start Page > Special Functions > Data Export Manager.

  2. Under Category, select Special Programs (or Special Programs Enrollment).

  3. Under Export From, select Special Programs Enrollment (SPENROLLMENTS).

  4. Select the desired fields:

    • StudentID / Student_Number

    • ProgramID (or Program Name)

    • Enter_Date

    • Exit_Date

    • SchoolID

  5. Under Filter Records:

    • Filter by Program Name / ProgramID equals TX_ADSY.

    • (Optional) Filter by Enter_Date range for the reporting cycle.

  6. Click Next to preview and export the dataset.

B. Exporting Campus-Level ADSY Settings

  1. In Data Export Manager, set Category to PowerSchool Data Sets or Database Tables.

  2. Select table S_TX_SCH_SCHOOLS_X (or join from Schools).

  3. Select fields:

    • SchoolID

    • E1671_ADSY_INDICATOR

    • ADSY_DEFAULT_MINUTES

  4. Export and verify that all participating campuses have E1671_ADSY_INDICATOR = 1.

C. Exporting Calendar ADSY Dates

  1. In Data Export Manager, select Calendar or database extension table S_TX_CLD_X (joined with Calendar_Day).

  2. Select fields: Date_Value, SchoolID, ADSY_DAY, In_Session, Membership_Value.

  3. Filter for ADSY_DAY = 1 to review all configured ADSY days.


PEIMS Extended Year (Submission 4) Verification Checklist

  • [ ] Campus Indicator (E1671): Verified that all eligible PK–8 ADSY campuses have the indicator set to Yes and ADSY_DEFAULT_MINUTES populated.

  • [ ] Year Term Extension: Confirmed that the school year term end date at District and School levels extends through the last ADSY day.

  • [ ] Calendar Dates (E10200): Verified that ADSY dates are flagged with ADSY_DAY = 1, In-Session = No, and Membership = 0.

  • [ ] Student Special Program Records: Confirmed all attending students have single-day TX_ADSY enrollment records in SPENROLLMENTS.

  • [ ] Staff Responsibility (E1673): Verified at least one teacher or substitute per ADSY campus has E1673 = 1 and a valid Service ID.

  • [ ] EdOrg Calendar Verification Report: Run the verification report in PowerSchool using the EXYR collection code to confirm Reporting Period 9, Track 99, and Instructional Program Type 16.
