End-of-Year Process with PASI Direct Connect

PASI Direct Connect works with the currently supported End of Year (EOY) process in PowerSchool. This section provides a list of existing resources and the updates made to provide direct integration with PASI.

Resources for End-of-Year Process

The PowerSchool End-of-Year (EOY) process is used to close out the current school year and prepare for the upcoming school year. Current school year enrolments are closed and new school year enrolments are created. Students are assigned schools and grade levels as applicable.

Closing Current and Submitting New Enrollments

The End-of-Year process takes care of closing out the current enrolments in PASI. It also submits the new school registrations up to PASI. Therefore, it is important that you set valid Exit Codes for the Current Enrollment and Entry Codes for the New Enrollment. This applies to all the different types of students identified on the End-of-Year process page.

Effective January 31, 2019, PowerSchool handles Entry Codes, Exit Codes, Exit Dates, and cancelled enrolments as follows:

• Submits all Entry Codes to PASI with the code 800: Not Provided, regardless of the Entry Code selected in PowerSchool.
  
• Does not send Exit Codes as they are no longer collected by PASI.
• Sends the Exit Date immediately.
• Submits cancelled enrolments to PASI as Created in Error
• Deletes Created in Error enrolments after 30 days

Important:

• School authority policy decides which Exit Codes and Entry Codes to use as defaults during the End-of-Year process for the different types of students. It is recommended that you use the same exit codes used in the past when closing out the school year in PASIPrep.
• See note above. You must use valid PASI-approved Exit Description Codes and Registration Entry Codes (a.k.a. Entry Codes) only. Do not use any default PowerSchool Codes; they will be rejected by PASI.
• You must enter a value for every student type. Do not leave any student type blank. This can cause unwanted rejections or failures.
• Do not pre-populate Exit Codes on Active Current Enrollments, this will set a Completed Registration Status in PASI on the current year's enrollments. (For students that are returning or graduating use the End of Year process to populate the Exit Code with Provincial Exit Codes.)
• After the End-of-Year process is completed, users can update the previous enrolment record for better accuracy.
• For new school enrolments, only the first event is submitted to PASI as Registered. All subsequent events on New School Enrollments are put on hold until school starts.
• Do not run Initial Synchronization after performing End of Year until after the Entry Date of next year's school enrollments, this will set a Registered Status in PASI on next year's enrollments.

Exit and Entry Codes for End-of-Year Process (Recommended)

• PowerSchool sends all Entry Codes to PASI with the code 800: Not Provided, regardless of the Entry Code selected in PowerSchool.
• PowerSchool does not send Exit Codes as they are no longer collected by PASI.
