Setting the Student's Preferred Name

A student's legal name is the name that identifies them for legal and administrative purposes. The legal name is used when enrolling a new student into school, and is submitted to PASI to identify the student; however, only the preferred name of a student is synchronized with PASIprep. Either the Legal name or the Other name can be set as preferred. You can set a student's preferred name in PowerSchool before or after enrolling the student.

The name that is selected as the Preferred name is the name that is used throughout PowerSchool. The Preferred name is used for searching, and it appears on all standard reports.

Important: The Other Name cannot be set to Preferred if it matches the Legal Name.

Set Preferred Name During Student Enrollment

To set Legal Name as Preferred when enrolling a new student:

1. From the start page click Enroll New Student.
2. Enter the student's demographic information.
3. Under Alberta Information click Copy from Name to copy the student's name that is entered above.
4. Click the Is Preferred checkbox.
5. Enter the remaining Alberta Information.
6. Click Submit.

To set Other Name as Preferred when enrolling a new student

1. From the start page click Enroll New Student.
2. Enter the student's demographic information.
3. Under Alberta Information enter the student's legal name.
4. The Is Preferred checkbox is not selected.
5. Enter the remaining Alberta Information.
6. Click Submit.

Set Preferred Name for Existing Student

1. Find and open the student's record.
2. Click State/Province - AB.
3. Begin editing the students's name.
4. In the Edit Action pop-up menu, select Are you fixing an error? or Are you adding a new name?

Note: If you select Are you fixing an error? the name record is edited in PASI. If you select Are you adding a new name? an update to the to the Document Type, Document Number, or Issued Date is required.
