All States: Change history for Student Programs

Change History functionality is now available on the Student Programs page, enabling tracking of updates to key fields.

A new category has been added to the Student Program Change History page to monitor changes to Entry Date, Exit Date, SP Comment, Program, Exit Reason, and Grade Level.

Note: This functionality is not applicable to the State-specific Student Program pages.

The NCEA data collection has received the following updates to conform to the 26-27 specifications.
Updated Screens

• School Management → Academics → School Information for NCEA Reporting

• District Management → District Setup → General → District Information for NCEA Reporting

Following New Fields has been added

• Building Type (Added for School Information data collection)

  • Early Childhood Center

  • Elementary

  • Secondary

  • (P)K - 12

    Note: This field must be populated in order for that building to be represented in the report output. In addition to this new field, updates have been made to existing district-level data elements so they can be populated for each of the four Building Type values.

New OnSIS Verification Report - Section C Co-operative Education Courses

OnSIS Verification - Summary Report: Version 3.4

This release introduces a new OnSIS Verification Report designed to display detailed information to validate Co-operative Education Courses. To ensure complete and accurate data generation, users must first import the appropriate PAE files for the submission, then run the OnSIS Secondary Report, selecting the Save XML flag. These steps ensure all necessary XML data is properly stored before executing the new verification report.

OnSIS Night School and OnSIS Student ADE Report – Student Not Reported When Enrolled on the Last Day of the Year-Term

Resolved an issue where students cross-enrolled in a Continuing Education course that was only in session on the last day of the year-term were not included in the OnSIS Night School Submission Report or the OnSIS Student ADE Report. These students now correctly appear on both reports with the expected NON_CREDIT_AVERAGE_DAILY_ENROLMENT student segment, provided their course enrolment falls within the submission start date and count date range.

If a course starts and ends after August 31 (the count date), the August (Summer/Night) count date must be set to the course end date (e.g., September 3).

OnSIS Verification Detail – Section B Combined Class Report Displaying Students Counted Twice

Resolved an issue where the OnSIS Verification Detail – Section B Combined Class report incorrectly displayed duplicate segments and double-counted students. When the S_ON_XML_SEGMENT_S table contained two records for the same class code, one with a NULL action (from the PAE) and one with an Update action (from the XML). The report showed the segment twice. Additionally, combined classes with two segments sharing the same first five characters of the Ministry Defined Course code, but differing credit values were incorrectly listing all students under both segments instead of only the students belonging to each respective segment. The report now correctly displays a single segment per class and accurately counts students according to their applicable credit value.

The Ontario Student Transcript is updated with logic to include the Credit and Compulsory flags previously missing for grade records with a term that did not exist in the terms table.

Section A and B Combined Course Verification Report – Student Missing After Class Add

Resolved an issue where the OnSIS Verification Detail reports for Section A and Section B Combined were not counting students who were added to an existing class segment after October count date if that segment was not being updated in the PAE file. For example, a student enrolled in an existing ESLCO or MTH1W segment after the count date would not appear on the verification report, even though students added to a newly created segment after October 31 were counted correctly. The reports now correctly include all students in both new and existing segments, regardless of whether the segment has an update action in the submission data.
