Ed-Fi: Organization Calendars Publishing Update

Wisconsin districts using DEX to publish Organizational Calendars for the 2026–2027 school year encountered 400 Data Validation Failed errors. Sessions (terms such as Semesters, Trimesters, and Full Year) were failing to publish to the State ODS because the termDescriptor values were not resolving to valid, API-recognized descriptors.

What changed?

  • Updated the term descriptor mapping logic to correctly resolve all WI term types (e.g., Semester, Trimester, Full Year) to valid Ed-Fi termDescriptor values for 2026–2027.

  • Added year-aware handling so the fix supports both 2025–2026 and 2026–2027 school years without regression.

What to expect after the update

  • Sessions publish successfully — All term types for 2026–2027 now pass Ed-Fi validation and publish without errors.

  • No impact to prior year — Existing 2025–2026 Calendars/Sessions continue to publish as expected.

Ed-Fi: Section 504 Data Publishing Update

Starting with the 2026–2027 school year, Section 504 program data for Wisconsin districts is now published from the standard Student Programs functionality instead of the Students/Reenrollments table. Districts must create a Student Program named "Section 504" (case sensitive) and enroll students with the appropriate program start and end dates. The system will automatically publish the corresponding studentSection504ProgramAssociations resource to the WISEdata ODS.

Key details:

  • 2025–2026 school year: No change. The Section 504 continues to publish from the Students/Reenrollments table as before.

  • 2026–2027 school year and onwards: Section 504 data publishes from the Student Programs source. Previously published Section 504 records from the legacy source are automatically deleted to prevent duplicate records in the ODS.

Action required:

For SY 2026–2027, districts must set up a Student Program named "Section 504" via District Setup > Student Programs. A migration report is available to assist with moving existing Section 504 data into the new Student Programs format.

CTE Work-Based Learning Publishing Logic Update

To align with updated Wisconsin Department of Public Instruction (WI DPI) state reporting requirements, the publishing logic for Career and Technical Education (CTE) Work-Based Learning (WBL) programs has been moved from the student level to the section level.

This update prevents state validation warnings (such as Warning 7511) and ensures compliance for current and future school years.

Key Changes

  • Removed Student-Level Publishing:
CTE WBL program data is no longer published from Student CTE Program Associations (STUDENTCTEPROGRAMASSOCIATIONS).

  • Automated Roster Synchronization:

    • Enrollment: Adding a student to a section automatically publishes the student's CTE WBL program reference.

    • Drops: Dropping a student removes the published program association accordingly.

    • Exclusions: Removing the student from the program on CC record excludes the student.

Location:

  • Data Exchange Status: Start Page > Data and Reporting > Data Exchange

  • Section CTE Settings: Start Page > Sections > Edit Section > CTE Program field

  • Course Registration Settings: Start Page > Student > Course Registrations > CTE Program field

Known Issue:

Section-Level Publishing of the CTE WBL program will be updated in a separate ticket and will be available in a separate release.
