AR/ELP Attendance Sync Report

Overview

The AR/ELP Attendance Sync Report is a California state-specific report designed to refresh and synchronize student attendance data for two distinct programs: Attendance Recovery (AR) and Expanded Learning Program (ELP). This report ensures that attendance calculations are accurately maintained and up-to-date for students participating in these programs.

Purpose

Refresh attendance data and calculate total minutes for students enrolled in Attendance Recovery sections
Calculate the number of ELP days attended for students participating in the Expanded Learning Program
Maintain data integrity by updating attendance records based on the selected school year and student population

Report Modes

The report operates in two distinct modes:

Attendance Recovery (AR) Mode
- Refreshes attendance data for students enrolled in AR sections
- Calculates and updates total attendance minutes
- Updates the attendance recovery records for compliance and reporting purposes
Expanded Learning Program (ELP) Mode
- Calculates the number of ELP days attended for selected students
- Updates ELP attendance counts based on actual attendance records
- Provides calculated values that can be viewed on the student's CALPADS page

Notes

Run this report when attendance data needs to be recalculated after attendance entries or corrections
Execute before generating CALPADS submissions to ensure accurate attendance counts
Use to refresh data at the end of a reporting period or school year
Run when students are newly enrolled in AR or ELP programs to establish baseline attendance data

Report Input

Field	Description
Select Students	Choose students to include in the report refresh. Use the Current Selection feature to select specific students.
School Year	Select the school year for which to refresh attendance data. Choose from available year records for the current school. The dropdown displays years in descending order (most recent first). Only year records associated with the current school are displayed.
Select the mode of refresh for ELP or AR	Choose which program mode to execute for the attendance data refresh: • Attendance Recovery – Refreshes AR attendance data and calculates total minutes for students enrolled in Attendance Recovery sections • Expanded Learning Program – Calculates the number of ELP days attended for the selected students
Implement the 'Exclude from ADA' flag to exclude designated student enrollments from this report	Controls whether to exclude students marked with the 'Exclude from ADA' flag from the attendance calculations.<• Yes (Default) – Excludes student enrollments that are flagged as 'Exclude from ADA' No – Includes all student enrollments regardless of the ADA exclusion flagDefault Value: Yes
Include the NPS and Private School Records	Controls whether to include Non-Public School (NPS) and Private School student records in the refresh calculations.< • Yes – Includes NPS and Private School records in the attendance refresh • No (Default) – Excludes NPS and Private School records from the attendance refreshDefault Value: No
Select Schools [District only]	If run at the district level: • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included. • All Schools – Run the report for the entire district. If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.
