SCDE Update: Ed-Fi Staff Assignment/Classification Mapping Changes

Ed-Fi publishing for Staff Assignment and Classification resources in South Carolina has been updated to align with SCDE's revised mapping requirements for the 2026–27 school year.

Key Changes

1. Updated field mappings for Staff Assignment publishing (staffEducationOrganizationAssignmentAssociations), the resource now publishes directly from Staff Assignment records (S_USR_ASSIGNMENTS_C) only.

2. Removed dependency - staffEducationOrganizationAssignmentAssociations no longer depends on staffSchoolAssociations

3. Home School and Active Status are sourced from the Staff Affiliation page, consistent with the Staff Assignment page updates ().

SCDE Update: Staff Assignments Automatically Created from Staff Affiliations

Managing staff assignments is now easier with enhanced synchronization between the Staff Affiliations and Staff Assignments pages. Key staff information entered on the Staff Affiliations page when adding a new Staff Affiliation is automatically reflected in Staff Assignments, reducing the need for duplicate entry and helping keep records aligned. The update also adds new staff classification options, support for District Office assignments, and improved visibility of home school and active status information, saving time and simplifying staff data management for districts.

When a staff member gets a new school affiliation on the Account Access and Affiliations page, a corresponding row is automatically created on the Staff Assignments through database triggers after a few minutes.

Field mapping between Staff Assignment and Staff Affiliation page, in relation to auto-creation when adding a new Affiliation for Staff:

• School → copied from affiliation

• Home School → mirrors affiliation

• Active → mirrors affiliation

• Staff Classification → mapped from Staff Type (Teacher→Teacher, Staff→Staff, etc.)

• Begin/End Date → Reflects the corresponding school year begin and end dates

• Position Title → left blank (manual entry)

Note:

1. Deleting an affiliation does NOT remove the assignment record.

2. Changing an affiliation doesn't insert a new assignment; it only updates existing ones. Editing an affiliation only syncs Home School & Active Flag; it won't overwrite Position Title, Classification, or Dates (those are user-editable),

3. If no term exists for the current year for the school that the staff is affiliated to, no record is created.

4. Schools excluded from reporting are also skipped (Note that the Include in Ed-Fi publishing checkbox does not apply to this sync).

As part of the initial setup, this release will also include migration of data from Staff Affiliation to Staff Assignment page for all active staff (if no record already exists on Assignment page for the affilaited School).
