Oregon Reports in Powerschool

PowerSchool for Oregon provides a wide variety of Oregon-specific reports. The table below lists these reports by report type. Tip: Click a report type link to go to that report section.

This table includes the following elements:

  • Report Name – Name of the report as seen in PowerSchool on the report generation page. The abbreviated report name is listed in parenthesis; the abbreviated report name is used in the column labeled “Used in these Reports” within the setup section.
  • Description – The purpose of the report.
  • Due Date / Cycle – The timeframe during which the report is submitted to the state.

Consolidated Collections

SSID Student File (SSID)

 

 

Generates the SSID collection in the consolidated student file format. The report scans for currently active students or for students active on a date specified at run time. One row is exported for each student.

The report may be run at the district or school level.

Career and Technical Education – Course Enrollment File

(CTE Course)

Generates the Career and Technical Education (CTE) Course Enrollment collection in the consolidated student file format. This report was formerly known as the PTE Course Enrollment report.

The report scans for students who were enrolled a minimum of 20 school days during the current school year. One row is exported for each section that each student was in.

The report may be run at the district or school level.

Annually (end of year - mid-May to end of June)

Career and Technical Education – Student Data File

(CTE Student)

Generates the Career and Technical Education (CTE) Student Data collection in the consolidated student file format. This report was formerly known as the PTE Student Data report.

The report scans for students who were enrolled a minimum of 20 school days during the current school year. One row is exported for each student.

The report may be run at the district or school level.

Annually (end of year - mid-May to end of June)

Class Roster File

(Class Roster)

This report includes a record for each student who enrolled in a section for more than 10 days within the reporting period. The report includes school, course, section, student, and teacher identifiers, along with the start and end dates for student course enrollments and teacher instruction.

Cumulative ADM Student File

(CumADM)

The Cumulative ADM Collection combines the ADM, Fall Membership, Spring Membership, Early Leaver, and High School Completer collections into a single collection. One row is exported for each student.

The report may be run at the district or school level.

Discipline Incident File

(Discipline)

Generates the Discipline Incidents student-level data collection in the consolidated student file format. The report scans for discipline incidents occurring in the date range supplied at report run time. The report may be further limited to a selection of students or run for all students. One row is exported for each incident.

The report may be run at the district or school level.

Annually (end of year)

Freshmen On-Track File

(Freshman)

Generates a list of enrolled students who meet the selection criteria in the consolidated student file format.  It is intended to show students who are on-track for graduation, based on the HS Entry Cohort Year and completion of a specified number of credit hours, as of the first in-session day after the selected report date (default is May 1st).

The report may be run at the district or school level.

Homeless Student File

(Homeless)

Generates the Homeless Student File collection in the consolidated student file format. This report includes a record for each student enrolled in a Homeless/Unaccompanied special program.

The report includes “Unaccompanied Youth” and “Primary Nighttime Residence Code” along with common Oregon 56 fields.

The report may be run at the district or school level.

IUID File

(IUID)

Generates the Instructional Unit Identifier Collection. This collection gives ODE the ability to link teachers to students. It includes both the instructional unit and participating educators.

The report scans for currently active class sections or for sections active on a date specified at run time. One row is exported for each section.

The report may be run at the district or school level.

Kindergarten Assessment – Approaches to Learning File

(Kinder-Approach)

Generates a list of all Kindergarten students enrolled at the selected schools during the selected date range and any Approaches to Learning Assessments completed during the selected date range.

The report may be run at the district or school level.

First 6 weeks of school (mid-August to end of October)

Kindergarten Assessment – Early Literacy File

(Kinder-EarlyLit)

Generates a list of all Kindergarten students enrolled at the selected schools during the selected date range and any Early Literacy Assessments completed during the selected date range.

The report may be run at the district or school level.

Kindergarten Assessment – Early Mathematics File

(Kinder-EarlyMath)

Generates a list of all Kindergarten students enrolled at the selected schools during the selected date range and any Early Mathematics Assessments completed during the selected date range.

The report may be run at the district or school level.

First 6 weeks of school (mid-August to end of October)

English Learner File

(LEP)

Generates the English Learner collection with the consolidated student file format. The report scans for LEP students active at any time during the school year. One row is exported for each student.

Physical Restraint and Seclusion File

(Restraint-Seclusion)

Generates the Restraint and Seclusion collection for each school. The report counts incidents which involve restraint or seclusion and returns a count for that school of students or incidents in various categories.

Pre-Kindergarten Student File

(OPK)

Generates a list of enrolled Pre-Kindergarten students during the selected date range in the consolidated student file format.  It includes in the results details for Oregon Pre-Kindergarten Special Program Enrollment.

The report may be run at the district or school level.

Recent Arrivers File

(Recent Arrivers)

Generates a list of students who are recent arrivers. Recent arrivers are classified as students who were born outside the US or Puerto Rico and have less than 3 years of education in US schools.

Staff Assignment File

(Staff Asgnmt)

Generates a list of all staff members assigned to course sections on the selected report date.

Health and Immunization

Immunization Audit Report

(Immun Audit)

Generates the Immunization Audit report for each student. The report is in the format requested by Oregon Department of Health Services. It outlines student vaccination dates, vaccine status and overall status.

Immunization Primary Review Summary

(Immun Review)

Generates the Immunization Primary Review Summary for primary review of student’s records to determine the immunization status. This report is in the format requested by Oregon Department of Health Services. It outlines the student counts matching the different immunization rules. It also displays the details of the students with ‘Incomplete/Insufficient’, ‘Temporary Medical exemption’ and ‘No Record’ immunization statuses.

Immunization Letter to Parents

(Immun Letter)

This report generates letters to parents, detailing the student’s immunization records on file and the evaluated vaccine and overall status as of the report date.

Imports

Section IUID Import

This import will process a file with the same format as the report generated by the IUID Report, updating the Instructional Unit Identifier for the corresponding section. Sections are identified by the LcMstrSchdIL and updated with the value in the ChkDigitInstrctUnitID field.

Miscellaneous Reports

Incident Management Validation Extract File

This reports displays potential errors for the Consolidated Collections Student Discipline report. Incomplete incident records need to be easily identified. An incomplete record has specific attributes that can be checked by the validation report.

. The report will generate a list of incidents that have one or more of the following errors:

  • The incident has an offender with no Behavior incident element attached.
  • The incident has an offender with no Action incident element attached.
  • The incident does not have an Incident Date.

School Conflicts Audit File

(Schl Conflict)

Generates a list of students who have transferred between schools within the district but the process is incomplete.

Known Issue Description: If a student is attending a school and then transfers to another school within the district, but there is a delay between leaving the first school and entering the second school, some Consolidated Collections reports may be incorrect when the report is run during the delay period.

Known Issue Resolution: When students transfer between schools, the transfer procedure must be completed to ensure the student’s records are reported correctly. Until the student is successfully enrolled in their new school, some Consolidated Collections reports may be incorrect.

The transfer procedure includes three steps to be considered complete:

  • Start Page > Student Selection > Functions > Transfer Student Out
  • Start Page > Student Selection > Functions > Transfer to Another School
  • Start Page > Student Selection > Functions > Re-Enroll Student

The purpose of this report is to identify students who have not been reenrolled at the second school. The output shows student details plus [Students]SchoolID and [Students]Enrollment_SchoolID that do not match.

Recommended to run this report and correct errors before student-level reports are run.
