Introduction

English Learner File generates the LEP collection with the consolidated student file format. The report scans for LEP students active at any time during the school year. One row is exported for each student. The report is written using the State Reporting Platform (SRP).

Early in the 2010-2011 school year the need for the English Learner File was identified. The Oregon State/Province page was updated so data entry could begin in February 2011. The report became available in May 2011. The LEP report is written using the State Reporting Platform (SRP), which optimizes the performance of the report. The output format matches the ODE layout.

Please refer to the July 9, 2010 Tech Note, article 60863 on PowerSource, announcing the State Reporting Platform. To make use of this report, districts need to upgrade to PowerSchool 6.2.1.0 as a minimum version.

Setup is required to support SRP reports. Districts need to configure ReportWorks Preferences if you have not already done so. Additional information for configuring for the State Reporting Platform is available in article 62620 on PowerSource.

  • If you have already configured ReportWorks Preferences, no additional setup is required.
  • If you have not configured ReportWorks Preferences, please refer to the "ReportWorks Preferences" section of the ReportWorks Setup Guide on PowerSource. This section will provide steps for configuring the scheduler node for the report queue.

SRP reports are on the Run Reports > State Reports tab and appear at the bottom of the page. The SRP report output is available in Report Queue > ReportWorks.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] and [ReEnrollments] tables based on the following criteria:

  • The student's school must not be excluded from state reporting.
  • The student must not be excluded from state reporting.
  • The student’s school entry date must occur on or before the last day of the current term.
  • The student’s school exit date must occur after the last day of the current term.
  • The student’s LEP flag is not checked, and has one the following exit codes selected:
  • (3H) Took proficiency placement test, scored proficient and was not eligible for ELD program services
  • (5M) Student who exited ELD services in either the prior school year or two years prior to the current school year
  • (5F) Student who was an identified EL, but is no longer in monitored or current English learner status

To generate English Learner File, do the following:

Description

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] number of students only – Run the report for students in the current selection.
  • All Students (Default) – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Report Start Date and End Date

Enter the start date and end date to restrict students for the report.

File Name

OR_LEP_[SchoolID/DistrictNumber]_[Timestamp].csv

Destination

The report defaults to the Reporting Queue.

Scheduling

Choose a time to run the report from following options:

  • Run Now (default)
  • Schedule
