Freshman On-Track File

Introduction

The Freshman On-Track File generates a list of enrolled students who meet the selection criteria in the consolidated student file format.  It is intended to show students who are on-track for graduation, based on the HS Entry Cohort Year and completion of a specified number of credit hours, as of the first in-session day after the selected report date (default is May 1st).

The report may be run at the district or school level.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] tables base on the following criteria:

  • Students enrolled at a user-specified selected school(s) .
  • The student HS Entry Cohort Year matches the user-specified HS Entry Cohort Year.
  • The student’s StoredGrades records must have a Grade_Level equal to or higher than 9.
  • The student must have earned at least the number of credit hours specified in the Minimum Number of Credits Earned.

Note: These criteria indicate that the stored grades process has been completed so the Earned Credit Hours are available in the StoredGrades table (StoredGrades.EarnCrHrs).

  • The student must not be excluded from state reporting.
  • The student Entry Date must be on or before the last day of the current term.
  • The student Exit Date must be on or after the first day of the curren term.
  • The student Entry Date must be before the Exit Date.

Report Input

To generate the Freshman On-Track File, do the following:

Description

Select Schools*

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Students to Include*

Indicate which students to include in the report by selecting one of the following options:

  • Use Current Selection – Run the report for students in the current selection.
  • Don’t Use Current Selection – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Report Date

The first in-session date on or after the specified Report Date will be used to determine earned credits.

HS Entry Cohort Year

The HS Entry Cohort Year to select students XXYY (1415 for 2014-2015).

Minimum Number of Credits Earned

The minimum number of Credits Earned as of the first in-session date after the Report Date.

Report Output

This report is a student-level Consolidated Collections report using the “core fields query” to gather student details and assure consistent data submissions to ODE.

NOTE: This report has only the elements found in the SSID report.
