Class Roster File

Introduction

This report includes a record for the student who enrolled in a section for 10 or more days within the reporting period. The report includes school, course, section, student, and teacher identifiers, along with the start and end dates for student course enrollments and teacher instruction.  If a co-teacher is assigned to the section, a row will be returned for the lead teacher, as well as any co-teachers with the role Reference Code set to “OR”.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Sections Selection

The report selects records from the [Sections] table based on the following criteria:

  • One record should be reported for each student who enrolled in the section for 10 or more days.

  • The section must be assigned a term with dates within the reporting period.

  • The course must not be excluded from state reporting.

To generate the Class Roster File, do the following:

Select Schools*

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Students to Include*

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] number of students only – Run the report for students in the current selection.

  • All Students (Default) – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Report Start Date*

Enter the first day of the reporting period.

Report End Date*

Enter the last day of the reporting period.

Include Instructional Minutes? (Optional)

If yes, returns the value stored for the course the InstrctMinCnt field. ([S_OR_CRS_X]SchdldInstrctMinCnt)

File Name

OR_ClassRoster_[SchoolID/DistrictNumber]_[Timestamp].csv

Destination

The report defaults to the Reporting Queue.

Scheduling

Choose a time to run the report from following options:

  • Run Now (default)

  • Schedule

School Section Identifier

The section number. Identifier that distinguishes the specific instance of a class being reported.  This identifier can be any convention used by the institution.

The student’s first day in the section. Date the student began receiving instruction for the IUID. This date should not account for temporary absences of the student.
