Additional District Setup for GPA Calculations

Purpose

Mississippi DOE receives GPA and class rank values based on district-defined GPA Calculation Methods and Class Rank Methods. GPAs are not calculated automatically for MSIS; they must be properly configured and stored in PowerSchool to ensure accurate state reporting.

This guide explains how to configure GPA calculations and class rank methods so GPA values synchronize correctly with the Mississippi Department of Education.


Prerequisites

Before proceeding, confirm the following:

  • GPA calculation policies are finalized at the district level

  • Courses are correctly flagged to count toward GPA and/or Class Rank

  • Grades are stored for the applicable reporting terms

  • You have District Administrator access in PowerSchool


Step 1: GPA Calculation Method Setup (District Level)

This setup tells Mississippi reporting which district GPA method to use and whether it should be treated as Weighted or Unweighted. This configuration is district-wide (one selection affects all schools).

  1. Sign in to PowerSchool.

  2. Select District Office.

  3. Navigate to: District > District Info > Compliance.

  4. Locate the section for GPA configuration (placed at the bottom of the Compliance page).

  5. Configure the following fields:

    • Cumulative GPA Method: Select the appropriate GPA calculation method from the available PowerSchool GPA calculation methods.

    • Weighted Indicator: Set to indicate whether the selected method should be treated as weighted or unweighted for MSIS reporting.

  6. Click Save.

Guardrails

  • MSIS GPA setup requires selecting Weighted or Unweighted explicitly, and only 4.0‑scale methods are available in this setup to keep reporting aligned with DOE expectations.

Important: Mississippi GPAs used for MSIS must align with district policy and be applied consistently across all high schools. GPA calculation results drive state submission values.


Step 2: Create or Verify Class Rank Methods (School Level)

Mississippi GPA submission relies on stored GPA values, which are typically produced as part of the Class Rank process.

  1. Switch to the school context (high school).

  2. Navigate to:
    School Management > Academics > Class Rank > Class Rank Methods

  3. Click New (or edit an existing method).

  4. Configure the Class Rank Method:

    • Description: Use a clear naming convention (ex: MSIS Cumulative GPA)

    • GPA Calculation Method: Select the GPA calculation method selected at the district level for MSIS reporting

    • Only include grades that count in class rank: Select, if applicable

    • Exclude students: Select if your district excludes certain students from ranking

    • Include early graduates: Select only if district policy includes early graduates

  5. Submit the Class Rank Method.

Class Rank Methods link GPA Calculation Methods to students and ensure GPA results are created and stored for reporting.


Step 3: Ensure Courses and Sections Are Included Properly

  1. Navigate to:
    School Management > Courses

  2. Open each course that contributes to GPA.

  3. Verify:

    • Include in GPA is enabled

    • Include in Class Rank is enabled (if applicable)

  4. Repeat for sections if section‑level overrides are used.

Courses not flagged correctly will be excluded from GPA calculations and may result in incorrect MSIS reporting.


Step 4: Store Grades Before Calculating GPA

MSIS GPA values are based on stored grades, not live grades.

  1. Navigate to:
    School Management > Grading > Store Grades

  2. Store grades for the applicable reporting term(s).

  3. Confirm that grades are stored successfully before proceeding.

If grades are not stored, GPA calculations will not reflect final values.


Step 5: Calculate and Store Class Rank (Generates GPA Values)

  1. Navigate to:
    School Management > Academics > Class Rank

  2. Select the appropriate Class Rank Method.

  3. Run the Class Rank calculation.

This process:

  • Calculates GPA values

  • Stores GPA results in PowerSchool

  • Makes GPA data available for Mississippi State Reporting

GPA values used for MSIS are derived from stored Class Rank results.


Step 6: Verify GPA Values for Reporting

  1. Select a student.

  2. Navigate to:

    • Historical Grades

    • Term GPA or cumulative GPA panels

  3. Confirm GPA values match district expectations.

If values are incorrect:

  • Re‑check the GPA Calculation Method logic

  • Verify courses and grade scales

  • Confirm that grades were stored before recalculation


Key Compliance Notes

  • GPA setup is district-wide, not school‑specific

  • MSIS consumes stored GPA values, not live calculations

  • Re‑running Class Rank recalculates GPA values for all students

  • Changes to GPA logic should be tested before peak reporting periods


  • Use one standardized GPA Calculation Method for MSIS

  • Document district GPA rules outside of PowerSchool

  • Recalculate Class Rank after:

    • Storing grades

    • Course configuration changes

    • GPA rule changes
