Creating Incidents: Incident Builder: Participants

Use the steps below to populate the Participants portion of an incident. See the Appendix for Tennessee State Reporting code values.

To add a student or staff member from PowerSchool, complete the following steps:

  1. Click the Plus (+) button next to Participants. The Search for Student, Staff, or Other Participants pop up box appears.
  2. Enter criteria for the search and click Search, if searching for either a teacher or student. The Results section is populated with matching participants.
  3. Highlight the appropriate participant in the search results and click Add.
  4. Choose a role from the Select Role(s) pop-up menu.
    Note: For the role of Victim and Offenders, select a role code description from the pop-up menu.
  5. Click the Plus (+) button next to Attributes in the ‘Add Participant Attributes’ box

Note: For TN State Reporting Incidents, the Attributes area may be left blank. If left bank an ‘N’ will be reported for the   Medical Treatment Required Indicator and Weapon Detected. If left blank the Injury Severity Code will extract a value of 1. The TN District AUN selection will allow users to attach a PA district those participants who are outside of the reporting school district.

To add a participant who is not in the PowerSchool system, complete the following steps:

  1. Click the Plus (+) button next to Participants. ‘The Search for Student, Staff, or  Other Participants’ pop-up box appears
  2. From the popup menu select Others
  3. Click on the Create Other option at the bottom of the pop-up box.
  4. The Add Other Participate dialog box appears. Populate the First, Middle, Last names, position, age, and gender fields.
  5. Click Add.
  6. Choose a role from the Select Role(s) pop-up menu.
    Note: For the role of Victim and Offenders, select a role code description from the pop-up menu.
  7. Click the Plus (+) button next to Attributes in the ‘Add Participant Attributes’ box
