Kansas Individual Data on Students (KIDS) Collection

Introduction

The Kansas Individual Data on Students (KIDS) Collection extracts are used to submit data, based on the collection cycle, to the Kansas Department of Education (KSDE). Select the appropriate school and current term (full year) from the top of the page before running these extracts.

The extracts for ASGT, ENRL, QERY, SMSC, SPED, EXIT, MILT, TEST, and EOYA all use the same file layout. The documentation for each report details the reported fields. Additional information for each field is located below.

Accountability School Identifier

The state-assigned school number. This is the school where the student is included for AYP/QPA accountability purposes; measures such as average daily attendance and state assessment scores are assigned to this school when determining AYP and QPA. You can find this identifier in the Kansas Educational Directory.

For ENRL, MILT, and SMSC records, if a student’s accountability data should not be included in the state’s AYP results, use one of the following building codes:

  • 0001 – When the student is included in the accountability results of another state.

  • 0002 – When the student attends an unaccredited private school or is homeschooled in all assessed content areas. This field must contain an accredited school building number if the student is a K-12 student who receives instruction in at least one assessed content area in an accredited school.

  • You may use the district central office number if the student's only instruction is from an approved public school district program, such as alternate education or a virtual learning program.

For EOYA and TEST records, this field must contain a valid School ID number belonging to an accredited school, 0001, or 0002. If the value is 0001 or 0002, then D16: Funding School must contain a valid School ID number or district central office.

For EXIT records, this field must contain a valid School ID number belonging to an accredited school. For no-show EXIT records, this School ID number is the previous year’s School ID number.

For ASGT records, this field must contain a valid School ID number, 0001 or 0002.

Note: You can use the district central office as the Accountability School only for adult students and pre-kindergarten students without an IEP.

The state-assigned district number where the student resides. Use the state district alphanumeric code number (for example, D0101). For out-of-state residences, use the two-letter state code for that State, for example, NE for Nebraska.

The state-assigned number for the school in which the student’s enrollment is counted for state funding and/or the Principal’s Building Report.

If the district does not have a high school or has preschool students who are not assigned to a student, report the district central office building number.

For the ENRL records, report 0003 if the student attends a non-accredited Juvenile Correctional Facility.

Virtual Education Student

Indicates whether the student participates in a virtual education school or program that is approved for state funding. To extract value, the student must have a grade level code of 05-18.

If both values 1 and 3 apply to the student, report value 3.

Indicates whether the student was truant during the current school year. This value is calculated at report runtime based on Attendance Tracking and Notification settings.

The student is considered truant if they were truant:

  • 5+ days in semester 1

  • 5+ days in semester 2

  • 7+ days in the year

  • 3 days in a row

  • 0 - No

  • 1 - Yes

Notes:

  • If the student’s status changes between the end of the school year and June 30th, the school may report the student’s status as of June 30th.

  • For Truant Student field to calculate, run Refresh Attendance Tracking Data at the District (System Reports) and Truancy and Attendance Levels Reached at the School (System Reports) before generating the EOYA.

Minutes Enrolled

The number of minutes per day the student was enrolled in the district on September 20th and, if applicable, February 20th. The minutes exclude lunch and passing time to/from lunch. Passing time between classes is included.

The Minutes Override is reported if populated on the Kansas Student KIDS Information page. Otherwise, if the collection is ENRL and the student was present on September 20th of the current school year, then the total number of minutes entered at runtime for an average week is divided by five. If the student is marked as part-time, then the number of minutes entered at runtime is divided by five and then by two. The following criteria apply to this value:

  • Report zero for students in public schools that do not qualify for funding.

  • The KSDE divides this value by 360 for regular FTE students.

  • The KSDE divides this value by 300 for dual-enrolled students.

  • If the number of minutes per day varies or the student does not attend school five days per week, sum all minutes for a normal five-day week and divide by five.

Concurrent High School Enrollment

Indicates whether the student is enrolled in a second educational program on September 20th.

The student’s grade level code must be 15, 16, 17, or 18. If “GI” is chosen for field D34 (Gifted Student), then the grade level code can be 14, 15, 16, 17, or 18.

This calculation includes minutes for normal schedule and block schedule courses that are identified as Vocational Courses. It excludes seminar minutes and minutes accrued at a post-secondary institution. This field is reported for high school students in grade levels 9, 10, 11, 12, and non-graded secondary.

If the D45 field is populated on the Student Information, State/Province - KS,  KIDS page, it overrides calculated minutes.

Neglected Students are students committed to an institution (other than a foster home) or voluntarily placed under applicable State law due to abandonment, neglect, or death of their parents or guardians. Students who do not meet the definition of neglected should have a zero in this field.

D10 Grade Level Field Rules

The Kansas Department of Education (KSDE) has introduced a breaking change in the 2023-2024 school year. They have standardized the Grade Level field.

The valid values are:

  • IT = Infant Toddler

  • PR = PreSchooler

  • KG = Kindergarten

  • 01 through 12

  • UG = Ungraded

The [S_KS_STU_X] Grade_Level field has been updated and is used as an override.

The override values:

  • IT = Infant Toddler

  • PR = PreSchooler

  • UG = Ungraded

The override values are used only when [Students] Grade_Level is not 0 through 12.
