KIDS Collection EOYA

End of Year Accountability

The KIDS Collection EOYA report will be used to submit end of year accountability data, based on the EOYA collection cycle, to the Kansas Individual Data on Students (KIDS) system.

Selection Criteria

The report selects records from the [Students] and [ReEnrollments] tables based on the following criteria:

The student must not be excluded from state reporting.
The student’s school entry date must occur on or before the report end date.
The student’s school exit date must occur after the report start date.
The student’s school exit date must occur after their school entry date.

Note: Students selected based on a previous enrollment now have their Attendance_Days values reported to tenths, to match students selected based on current enrollment.

Note: PowerSchool checks for [S_KS_STU_Demographic_X]Legal_First_Name, [S_KS_STU_Demographic_X]Legal_Last_Name, and [S_KS_STU_Demographic_X]Legal_Middle_Name to include in report output. If ALL three fields are blank then it checks for [STUDENTS]First_Name, [STUDENTS]Last_Name, and STUDENTS.Middle_Name to include in report output.

Field	Description
Schools to Include	Select the school from the popup menu. This report can only be run for one school at a time.
Current Selection Students	Indicate which students to include in the report by selecting one of the following options: The selected [number] students only – Run the report for students in the current selection. All students – Run the report for all students in the current school or district who meet the selection criteria. Note: To include data for inactive students, run the report for All Students. To run the report for a single student, or group of students, select the students prior to running the report.
Start Date	Enter a date (in mm/dd/yyyy format) for the first day of the report date range. Note: The default value is the start date for the selected term.
End Date	Enter a date (in mm/dd/yyyy format) for the last day of the report date range. Note: The default value is the end date for the selected term.
Include Header Row?	Select Yes or No to indicate whether to include the header row in the report output. Note: Set to No for file submissions.

This report pulls the recent enrollment record in case there are multiple enrollments in the same year at the same school.

Truant Student Calculation

Truant students are calculated using the Attendance Tracking and Notification (ATN) functionality.

If the Truant Student Override checkbox is selected, 1 is extracted.
If the Truant Student Override checkbox is not selected, the field value is set to 1 when the student satisfies any one of the following conditions:
- The student is absent 5 or more days in semester 1 or
- The student is absent 5 or more days in semester 2 or
- The student is absent 7 or more days during the full year or
- The student is absent 3 days in a row
Else the value is set to 0

Note: The Truant_Student value for students who are selected based on a previous enrollment is determined by attendance records or by the override field, rather than being hardcoded to 0.
